The Role:
As a Training Coordinator, you will provide an efficient coordination service for the business and ensure that training requests are booked in line with Company procedures, be proactive in reviewing and forecasting training needs / costs and share this with fellow Training Coordinators, the HR Lead and Directors.

You will:

- Administer training activity in accordance with the People Section of the Business Management System (BMS).
- Create and administer Training Plan(s) to reflect the requirements of the business, in line with the L&D guidelines.
- Liaise with delegates and prospective delegates to acknowledge bookings and provide details about courses.
- Arrange all training courses to include venues, refreshments, joining instructions and any other ancillary requirements.
- Use technology including MS Teams and Webinars to administer training events where requested.
- Raise and notify suppliers of purchase order numbers and process invoices as soon as courses have been confirmed.
- Prepare and despatch Joining Instructions no less than 3 weeks prior to course.
- Check room bookings, refreshments, materials and delegate lists 3 days prior to course notifying supplier of any amendments.
- Ensure course wait list is checked monthly and administrative action taken as deemed appropriate.
- Collate/prepare course materials (as required).
- Check and up-date all course costs following training events.
- Check and process all training certificates within 5 days of receipt.
- Follow-up any delayed or missing certificates with the supplier.
- Ensure certificates are despatched to the appropriate delegates.
- Maintain training records and prepare monthly training report.
- Attend fortnightly training calls and weekly team calls to ensure keeping on top with any changes requested from the Head of L&D and the Business Units (BU’s).
- Understand CITB Grant and Levy process and ensure all eligible grants are claimed.
- Conduct apprenticeship Levy administrative tasks in conjunction with L&D Manager.
- Participate in creating a knowingly safe working environment.

Qualifications/Experience
- Experience of working in a multi-site-based organisation would be advantageous but not essential
- Experience of e-learning and other online methodologies.
- Excellent verbal and written communication skills
- Excellent Knowledge and experience of Microsoft suite including Word, Excel and PowerPoint.
- Understanding of external funding bodies and data processes would be desirable but not essential.
- Previous experience of using a HRMS / LMS would be desirable
