Responsible to: Chief Executive Officer

Hours of work: 37.5 hours per week - flexible working available & considered

Base: Dingwall (IV15) or Fochabers (IV32) with a blend of home working

**Salary**: £23,402.95 to £28,507.83 per annum (dependent on experience, skills & qualifications)

Annual leave: 36 days per annum

Created in 1987, Autism & Neurodiversity North Scotland (A-ND) has been providing services for autistic and neurodivergent individuals of all ages and their families throughout Grampian for almost 40 years. We continue to develop and grow our services to ensure we are leaders in autism specific and neurodiverse support throughout the north of Scotland. The role of Executive Assistant to CEO is key and central in supporting our people, teams, services and the effective running of the organisation.

**ABOUT THE ROLE**

The role of Executive Assistant to CEO is a pivotal position that supports our CEO and the organisation in achieving ambitious results and strategy. Hours of work are generally during office opening hours; however, evening and weekend work will be required to provide full support to our CEO for various events and meetings.

Our people make our organisation, and the person who will be successful in this role must be a good fit with our CEO, current business support team, and key members of our senior leadership team. The close, trusting relationship between the Executive Assistant and the CEO is key to the success of this role. The CEO, who is required to lead the organisation across the North of Scotland, frequently travels between the Highlands, Moray, and Aberdeen. This role is crucial to the effective management of his time, resources, and planning.

This is a critical role in supporting the senior leadership team and CEO to create a dynamic, innovative, and psychologically safe environment by providing personalised secretarial and administrative support in a well-organised and timely manner. This is a very hands-on role and requires a proactive, flexible, logical, and systematic approach with excellent time management and communication skills.

**GENERAL PURPOSE**

To independently provide direct administration and business support to our CEO.

To independently coordinate and support the day-to-day running of our business support functions.

To support our senior and leadership team by providing administrative, HR, finance and business support.

To independently manage and coordinate updating our social media platforms and website.

To independently support the Finance Administrator where required with the organisation’s financial management, bookkeeping, accounts processing, sales and purchase invoicing, processing of payments, payroll & PAYE, credit control and year-end accounts.

**MAIN DUTIES and RESPONSIBILITIES**:
Act as a key point of contact between the CEO and internal/external stakeholders

Independently prepare reports, presentations and collation of information on behalf of the CEO

Independently support administrative, business support and HR functions of the organisation, reporting regularly to the CEO

Independently lead and manage office, facilities services, office supplies, maintenance activities and tradespersons and general upkeep within Highlands and Moray bases.

Take dictation, Minute and Note Taking

Independently coordinate the preparation of training and meeting facilities with all required resources or our senior leadership team and Board

Independently coordinate the organisation and management of accommodation and general travel for staff where required

Independently coordinate, facilitate and support interdisciplinary projects, collaborating with a variety of stakeholders, organisations, partners and agencies

Independently support colleagues ensure opportunities for continued innovation are optimised, supporting teams to deliver excellence

Independently support the organisations media strategy, press releases and provide support directly to the CEO with PR

Effectively collaborate with external stakeholders and co-ordinate required internal support to ensure effective financial functions

Support the broad work of Autism and Neurodiversity North Scotland, as requested by the CEO
