To provide a welcome to the clients / visitors to the department. The post holder will be responsible for clerical duties within the department. Assist clinicians with administrative tasks within the department. Checking details of clients on the trusts IT systems and updating as necessary including ECAMIS, EUROKING (Maternity Systems), ICE, PATHOLOGY VIEWER, EROSTER, WINDIP, FILETRACKER etc or ensuring paper forms are completed and sent to relevant wards / departments in a timely manner in line with the departments Key Performance Indicators.
Liaise with other agencies and / or NHS Trusts regarding client care. To promote effective communication with patients and families. To answer telephone and / or face to face enquiries. To request, cancel and re-arrange appointments when necessary, including booking meeting rooms / venues.
Produce accurate and well-presented correspondence, reports and collaborate statistics to provide evidence of achievement of quality levels. Sort, assist in the prioritisation and distribution of the daily work to the community midwifery team. To assist with the confidential management of patient records and ensure that all documentation is returned to the appropriate ward / department. To be responsible for the accurate and timely storing / scanning of records, e.g.
investigation reports, letters and case notes. To report maintenance and domestic repairs appropriately on instruction from the department manager. Assist with the preparation of patient records for admission, transfer, and discharge in a timely manner as and when required. The post holder will give relevant assistance as and when required to support all colleagues e.g.
contact women, clerical jobs for midwives. To arrange transport as necessary for the woman in accordance with the requirements of the departments / midwife in charge. To carry out general administration duties and provide clerical assistance as required. To send and receive faxes in a safe haven environment as per Trust policy.
Ensure that all Hospital records are tracked and booked using the Trusts file tracker system. Receive, sort, and distribute goods and post delivered to the department. Attend regular department meetings when on duty and take, type, and distribute minutes to team members. Assist with the delivery of specimens and collection of medication / equipment as required.
Be responsible for checking new-born blood spot repeats as directed by the lab and cross-checking the request with the failsafe system. To monitor and order stock e.g. stationery, medical equipment, leaflets, maternity documentation etc. To assist the community midwives and birth centre manager in producing the staff roster in line with Trust policy.
To undertake other reasonable duties as directed by the community midwifery team and birth centre manager.
