Venue and Operations Executive

Job description
**Key Responsibilities**
- Managing venue room bookings and events by using Venue’s CRM system (currently iVvy).
- During events, supervising front of house/reception and ensuring that all guest movements are logged in the visitor management system (Sign in App/reception iPads).
- Overseeing venue stock and placing catering and equipment orders.
- Assisting the Venue team with regular accountancy and other ad hoc tasks.
- Dealing with Venue’s aged debtors.
- In the absence of the Venue Manager, solely supervising venue bookings and events, including temporary workers, catering, and AV matters.
- Carrying out daily health and safety checks of the venue building.
- Working closely with the Facilities Manager to maintain the venue building (i.e. maintenance of venue plants, marketing materials etc...)
- Managing desk and meeting room bookings for CIWEM employees via the staff management system (Sign-in App).
- Receiving card payments over the phone.
- Recording and promptly distributing the daily incoming and outgoing post and deliveries.
- Overseeing CIWEM office stock and placing stationery and kitchen orders.
- Working closely with the Operations team on any ad hoc. support.
Person Specification
**Essentials**
- Enthusiastic, with a proactive and positive _can-do attitude_
- Administration and/or customer service experience
- Excellent interpersonal skills and resilience
- Numeracy, with sound IT knowledge (Windows, Microsoft Office package)
- Excellent communication skills, with excellent written and spoken English
- Multitasking and ability to prioritise
- Strong organisational skills, with great attention to detail
- Comfortable working alone and performing opening and closing procedures of the building
**Desirables**
- Knowledge of CRM systems
- Experience in retail or hospitality industry
- Fire warden and first aider (training can be provided)
- Interest in Environmental issues and sustainability
