We are currently recruiting for an Executive Assistant to the CEO of Hand Picked Hotels.

The Executive Assistant to the CEO has a pivotal role in supporting the CEO in various aspects of his/her professional and personal responsibilities. The role has a high level of discretion, time and prioritization management, organisational skills, whilst handling a wide range of tasks and responsibilities efficiently. The EA to the CEO provides full executive support to the CEO in diary management, administration, communication, office management

related to the CEO’s office, travel arrangements and meeting preparation and working on specific projects and research as required.

This is a full-time role working 40 hours per week, Monday - Friday 9am to 5.30pm based at our central office in Sevenoaks in Kent.

**About the Role**:

- As Executive Assistant to the CEO you will be responsible for managing and maintaining the CEO’s diary and ensuring that the CEO is fully prepared for all meetings and engagements with relevant briefing notes. Ensures that follow-ups and actions are coordinated and implemented as per the agreed deadlines, liaising with all stakeholders.
- Manage CEO’s travel, balancing cost and time efficiency as well as processing expenses.
- Conduct regular diary meetings with the CEO to discuss upcoming engagements and invitations and all other requests for the CEO’s time. Responding to invites and making necessary arrangements.
- Work on delegated projects and research as directed to support the CEO on their meeting preparation.
- Schedule meetings between the CEO and their direct reports and other stakeholders, according to the CEO’s priorities.
- Maintain and organise the CEO’s schedule, prioritising between events, appointments, travel and meetings, ensuring a seamless workflow.
- Manage and effective electronic and paper-based filing and retrieval system to enable accurate and up to date information to be accessed quickly and easily.
- Maintain confidentiality at all times. Recognise sensitive matters, ensuring they are handled appropriately and consistently.

**About you**:

- To be considered for this role, you must have current Executive Assistant experience at board or C-minus 1 level.
- Have strong technical skills with a good knowledge of Excel, Word and Outlook.
- It is vital you are exceptionally organised and are able to prioritise and juggle a busy workload and multiple areas of responsibility.
- You have a clear, approachable, and friendly communication style and strong customer service orientation.
- Can demonstrate excellent analytical, problem-solving judgement and decision-making skills.
- Excellent communication skills both written and verbal.
- Enthusiasm and the drive to implement projects whilst overcoming obstacles.
- Able to prioritise with excellent organisational skills.
- Pride yourself on building strong internal and external relationships.
- You must be able to travel to the hotels and attend off site business meetings as required; own transport is essential.
- Be motivated to learn continuously about the Hotel business and be an ambassador for Hand Picked Hotels.
