**Senior Administrator & PA to the Executive Principal**

**Location: Bristol**

**Salary: £20,934 - £22,736**

**Job Purpose**

In this role, you will assist with administrative duties, including student reviews, the recording of progress and achievement through the Educational Planning Cycle (EPC), quality assurance processes and PA to the Executive Principal.

The post holder will be expected to travel on an occasional basis between the Trust’s sites, and to and from other places as the Trust may reasonably require. You will be required to carry out your duties at all School premises, some of which are locateda distance from the main School sites and at such other places as the Trust may reasonably require. Evening and weekend working will be required.

**Main Duties**
- To be responsible for the scheduling of student meetings, including annual reviews.
- To be responsible for inviting and notifying all relevant stakeholders of student review meetings.
- To type up reports and action points from meetings and ensure they are sent out to relevant parties.
- Provide PA support to the Executive Principal, organising diaries, scheduling and booking meetings, preparing reports and keeping notes.
- To assist with the ongoing inputting of information into data bridge, including review information, student targets, goals, etc. and students’ qualifications or achievements.
- To assist with the distribution of educational information for each student and ensure adequate information available to staff.
- To assist with the student programme planning.
- To assist with other administrative tasks including filing, minute taking, report typing, etc as needed.
- In conjunction with other staff, maintain and operate the Data bridge student database of general student information.
- To assist the School Management Team with self-assessment reports (SAR) for the school and other issues related to Quality Assurance.
- Presentation of material for Ofsted.
- As appropriate provide administrative and secretarial support to the School’s Management Team, co-ordinate School business and maintain accurate records of all meetings.
- To provide high quality administrative and support services to the Assistant Executive Principal.
- To provide ad hoc reports to the management team of the School and assist them on special projects and with day to day matters.
- To work in conjunction with the Administration Manager in managing administration for all trips and visits, including cover.
- To produce and manage the School diary and calendar.
- To work in conjunction with the Administration Manager in organising major School functions.
- To liaise and work closely with the other Colleges and Schools within the Trust.

**Safeguarding**
- To share the school’s commitment for promoting and safeguarding the welfare of children and young adults.
- To be responsible for promoting and safeguarding the welfare of students, children and vulnerable adults that you come into contact with.
- To follow and promote Keeping Children Safe in Education and working together to safeguard Children in addition to the Young People and Adults at Risk Safeguarding Policy.

**General**
- To carry out the above duties in accordance with the Trust’s Health and Safety Policy.
- To actively support and promote equality and diversity throughout the Trust.
- To work co-operatively with other staff within the Trust.
- To work with students as and when required.
- To comply with all the policies and procedures of the Trust
- To maintain exemplary standards of professionalism, honesty and respect at all times, and not abuse the privilege of access to confidential information.
- To be responsible for the care and development for your working area.
- To attend meetings and supervision as required.
- To deliver training or development opportunities as required.
- To maintain a 'duty of candour’ and to be open and honest, ensuring that concerns are raised promptly through the appropriate management routes.
- To undertake training and development as required by the Trust and the Hiram Education and Research Team. To be committed to professional self-development, through participation in-service training as necessary for the successful carrying out the role.
- To undertake work related continued professional development (CPD) as required by the post.
- May, from time to time be required to work additional hours as shall be reasonably necessary to discharge properly your duties and responsibilities outlined in this job description.
- To undertake any other duties appropriate to this level of post which will evolve as the job progresses until the job description is reviewed.

**Staff Management and Supervision**
- The Senior Administrator has no direct staff responsibility, however, may be required to line manage designated staff.

**Liaison**

To liaise with all staff employed by the Trust, professional bodies, external consultants, and any outside bodies as and when required.
