Role Summary

Established in 1913, The Rep has an unparalleled history as a pioneering repertory theatre and the launch-pad for some of the most exciting talent in UK theatre both past and present. Today it is a producing powerhouse with three auditoria - The House, 820 seats; The Studio, 300 seats; The Door, 150 seats - as well as extensive on-site production facilities.

Under the Artistic and Executive leadership of Sean Foley and Rachael Thomas the theatre is in the midst of a process of significant renewal, with the vision of being a national and international centre for artistically ambitious popular theatre in all its forms: comedies, dramas, musicals, dance-theatre and family shows. Revivals, new work and commissions will play in all three theatres. Many of its productions already go on to enjoy future life through commercial transfers and national/international tours.

The Producing Assistant role is integral to our Producing Team.

We are looking for an efficient and capable administrator to support the producing activities of the organisation. This essential role will support the administration of the Producing department and will enable the team to work efficiently and effectively by absorbing a layer of procedural and contractual operations for produced shows and projects. The role will involve close working with all members of the Producing Team and liaison with other departments, including Production, Finance and Operations. This job is a great opportunity for someone starting a career in arts producing/management.

Main duties and responsibilities
- Assisting the Producers and Producing Coordinator.
- Communicating effectively between the Producing team, Production Department, Front of House, UVB and freelance creative teams.
- Maintaining efficient systems and processes for administration of the work undertaken by the Producing Team.
- Drafting, issuing and recording contracts and liaising with relevant agents for REP productions.
- AV checking actors and creative freelancers for Rep projects.
- Preparing expense forms and keeping records of income and expenditure against budget.
- Arranging travel and accommodation for artistic team members and visiting artists as and when required.
- Managing the theatre’s system for dealing with unsolicited scripts and approaches from artists.
- Maintaining appropriate filing and storage.
- Supporting the organisation of Press Nights by helping with invitations, managing RSVPs where required, allocating and distributing tickets.
- Booking appropriate rooms and resources for Producing Team programming and producing activity through the theatre’s Artifax event management system and liaising with system users in other departments of the theatre & Library.
- Actively working with the Artifax user groups to ensure appropriate use and development of the system.
- Organising and attending meetings, taking minutes or notes and distributing information to relevant individuals
- Collating data to inform Annual ACE data submissions and EDI collection, creating and developing databases of contacts and undertaking other similar administrative functions as and when required
- Participating in training activities as and when identified.
- Supporting the production of programmes, playscripts and any other publications produced by the marketing department.

General Responsibilities
- Adhere to and implement the guidelines, procedures and policies of the company as detailed in the staff policies (available from the staff handbook).
- Complete all mandatory training and e-learning
- Play a role in the life of the company and work across departments to develop a positive and engaged organisational culture including playing active and positive roles in staff forums/committee’s.
