Administrative Support
 Create forms, documents, spreadsheets, and letter templates for use by the department. This includes documents with graphs, tables, and PowerPoint slides for presentations for the team.
 Participate in the staff development review process and in mandatory training and development programmes and those arising from personal development plans.
 Plan and prioritise workload and use initiative in meeting responsibilities without direct supervision and any change in agreed schedules or deadlines. This may include adjusting planned work schedules and priorities, incidents and emergencies at short notice.
 Identify potential operational problems and difficulties and assist in problem solving and implementing new systems.
 Identify potential areas for quality improvement in effectiveness and efficiency in systems.
 Any other duties, which may be requested by the Associate Director Infection Prevention and Control (DIPC) to facilitate the running of the service.
 Participate in the induction process relating to specific projects/audits awareness.
 Manage the team diaries and ensure all papers are available for the DIPC to attend key meetings
 Proactively update the team on any issues and ensure all team members are supported
 Manage and ensure that all IPC Team reports are submitted in a timely way and are approved before circulation
 Sorting and prioritising all incoming mail, distributing as appropriate.
 Managing the electronic diary for the department, including arranging and changing appointments, prioritising these as appropriate;
 Setting up MS teams/virtual meetings.
 Organising and planning events as necessary supporting information material.
 Supporting teams in project management and participating in department events.
 Working with all team members in the collection of information for performance reporting on relevant team projects.
 Acting as a point of contact for teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously.
 Supplying the relevant information required for financial management, supporting the head of department and teams by checking and sending invoices for payment.
 Running and collating reports which may include reports to the Board and senior management as required.
 Developing and maintaining effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team.
 Preparing agendas, taking minutes, and distributing notes of meetings.
