**Job summary**:
This is a varied and demanding role in the office of DG Finance. DG Finance is at the heart of all the work carried out across the Department and this role provides an excellent opportunity to see the strategic business of the MOD and to be a part of driving forward the Department’s aims and objectives. The high tempo working environment, combined with exposure to senior officials and military officers, will enable you to develop core skills and behaviours quickly.

The Private Secretary provides a close support function to DG Finance across all areas of their responsibility. These include: Financial Planning; Approvals and Scrutiny; Operational Finance; Analysis; Audit; Fraud, Risk and Assurance; Head Office Finance; and UK Government Investments.

You will be required to display high levels of judgement across a broad range of topics, effectively balancing the demands on the DG’s time, often dealing with senior stakeholders on high profile and sensitive matters. You will be part of a small team providing a quality service to Director General Finance in support of their Departmental objectives and priorities, working flexibility to deliver those aims.

This role reports into the Chief of Staff and you will have Line Management responsibility for the Executive Assistant.

This position is advertised at 37 hours per week.

**Job description**:
Timely and effective support to the DG, including:

- Effective management of incoming correspondence: drawing attention to critical information in a timely manner; sharing/cascading information where necessary; capturing, tasking and monitoring actions placed on the DG.
- Commissioning and coordinating papers and briefs; reviewing drafts to ensure a consistent high standard of advice.
- Accompanying the DG to meetings within your portfolio; recording and disseminating readouts which accurately convey the DG’s views; following up on issues and actions as appropriate.
- Building strong relationships with the DG and senior leadership team, becoming a trusted source of advice, gaining and respecting their confidence, providing appropriate challenge where necessary. Understanding, articulating and driving forward the DG’s priorities, supporting the wider team to deliver those priorities; escalating issues and risks where necessary.
- Working closely with Approvals and Scrutiny teams to support the DG in their role as Chair of the Investments Approvals Committee (IAC); acting as a conduit between the teams and the DG to ensure all Committee correspondence is processed in a timely manner, meeting set deadlines.
- Working alongside the Chief of Staff to support the DG in preparations for appearances at Public Accounts Committee Hearings and Defence Select Committee Hearings.
- Building and maintaining an ongoing Visits Programme for the DG to Commands and key sites within the UK. Accompanying the DG on visits when required.
- Building and maintaining effective working relationships across Head Office, wider Defence and across Government.
- Line Management of the Executive Assistant.

- You will be a strong team player, flexible and calm with an ability to prioritise workloads while maintaining a consistent high level of service. You will have the ability to work quickly, but effectively, often to tight deadlines, remaining professional in a sometimes pressured environment.
- You will hold strong organisational skills, with excellent judgement and a ‘can do’ approach to situations, tasks and problems; a self-starter who can work independently.
- You will have excellent interpersonal skills with the ability to communicate effectively (written and verbally) with stakeholders at all levels. You will have the ability to build and maintain good working relationships.
- Ideally, you will have experience of working with a range of senior stakeholders, identifying diverse requirements and being adaptive to their needs. Experience of operating across a broad and complex function would be beneficial, as well as an understanding of the conne
