We are looking for an experienced administrator to play an important role in the administrative service for the Audiology Department at OUH, based at the John Radcliffe Hospital. The Audiology team provides high quality care for individuals of all ages with disorders of hearing and balance including an Auditory Implant Programme. This is a rewarding role where you will be in regular communication with clinical staff and patients.

The role involves answering queries from service users and providing reassurance when required. You will work in a team with clinical and administrative colleagues. A principle duty is undertaking appointment administration. You will also be involved with supporting the Oxford Auditory Implant Programme working closely with the multidisciplinary team.

Excellent communication both within and external to the organization is required including communication with service-users (usually to answer telephone queries from families), and with clinical and non-clinical staff. You will also be IT proficient, organised and reliable, with an eye for detail. Previous NHS administrative experience is an advantage.

Work occurs during office hours.

This is advertised at 22.5hrs per week (0.6FTE).
- To use the Electronic Patient Record (EPR) system to log new patients, check appointments, alter patient information and to find and track patient’s medical notes
- To book appointments onto the patient management system (Auditbase) and EPR as necessary, taking into account target waiting times, staff availability and clinical guidelines
- Accurate data input to key IT systems and databases, including the audiology patient management system, Auditbase. This will include scanning and attaching documents, creating patient records, updating personal information relating to service users, generating standard letters and discharging cases
- Process incoming post including referrals from GPs and other health professionals
- To process “Choose and Book” referrals
- To receive and pass on information to other professionals as requested. For example teachers of the deaf, local speech and language therapists
- Take messages and pass them on to the relevant member of staff in an appropriate and timely manner.
- Photocopying as required
- To undertake any other general office duties appropriate to the post.

This role will sit alongside an existing team of 3 administrators and 1 office manager to make up a team of 5. The Audiology administration team is a relatively small team who answer a very large amount of patient queries covering adult and paediatric audiology, as well as a cochlear implant service.

The existing administration team are a very friendly team with a varying levels of experience. We are looking forward to welcoming a friendly, hard-working individual to our team. We have a very strong work ethic to ensure we answer all patient queries in a timely fashion, as well as answering queries from other hospitals, GP surgeries and other healthcare professionals.

Whilst this role will be primarily focused on the adult side of the service, a broad range of training will be given for all apsects of the service to ensure the resilience of the team.

The Audiology department is a very busy department generally who work closely with the Ear, Nose and Throat(ENT).
