**ROLE OVERVIEW**

**Role**:Maintenance Administrator

**Location**:Bourne End

**Working Hours**: Monday to Friday, 8am-5pm

**ROLE RESPONSIBILITIES**
- Provide administrative support to the Maintenance Team and assist in the smooth running of the Maintenance department.
- Provide a friendly and efficient customer service to clients, suppliers and colleagues.
- Dealing with Telephone Communications Answering the telephone for all incoming enquires and logging the call effectively on Qube and Fix Flow.
- Handling simple enquiries or directing calls and logs to relevant staff as appropriate.
- Secretarial Scanning, filing logging and/or shredding correspondence and assisting Maintenance Managers in maintaining an organized, efficient and well-presented office environment.
- Typing up letters, meeting minutes and site visit notes as and when required by Maintenance Managers.
- Running mail merges and distributing correspondence as directed by Property Managers.
- Logging Invoicing and filing Job Sheets for all workflows.
- Ordering and cross referencing all materials to job sheets.
- Tracking Diary sheets from workforce for all contracted works planned and reactive.
- Managing all department records as directed by the Director of Facilities and Maintenance.
- Arranging servicing and MOT’s and tax for the company vehicles.
- Liaising and building close relationships with internal and external customers.
- Great communications skills, both written and oral

**Salary**: £25,000.00-£30,000.00 per year
