**About the Society**

The British Cardiovascular Society (BCS) is a membership organisation with charitable status. The BCS plays a pivotal role in the setting of standards, and through a variety of activities influences the quality of cardiology practice in hospitals throughout the UK. It has a broad education portfolio, contributes to specialist training (and examinations), has increasing involvement in research activities and works closely alongside 21 ‘Affiliate Societies’ that span the profession on areas of shared interest.

The Society is undergoing an exciting period of transformation and working within a small team this role presents an excellent opportunity to acquire and develop membership administration and process improvement skills.

**Responsibilities**:
In addition to providing services to its approx. 3,000 members, the Society provides a variety of services to eight of its 21 Affiliate Societies, equating to around 3,000 additional members. This aspect of the role requires good customer service, strong organisation skills and a supportive approach.

Specifically, the role requires the position-holder to carry out the following:

- Monitor the shared inboxes and respond to queries from BCS and Affiliate Society members according to agreed turnarounds.
- Work to brief in producing member newsletters and communications.
- Organise and service meetings, circulate agendas and write up minutes.
- Process requests from Affiliate Societies for changes to web content (where relevant, and/or amend and monitor the shared ticketing system).
- Produce membership statistics and generate reports.
- Assist with the compiling of key dates within the department’s annual planner for 2023 & 2024; and the creation of associated calendar invites.
- Support Affiliate Societies with committee nominations and elections.
- Undertake other tasks as requested by Affiliate Societies, where covered by Service Level Agreements.
- Support the creation of Standard Operating Procedures according to developing departmental standards and systems processes.
- Organising digital storage of documents in accordance with the Society’s retention schedule and GDPR compliance.

Other Responsibilities
- Any other duties as may be reasonably expected, and which are commensurate with the level of the post.
- Adhere and comply with the provisions of the BCS’s Health and Safety Policy.
- Undertake all duties and responsibilities in compliance with the rules and regulations encompassing equal opportunities.
- Undertake all duties and responsibilities in compliance with GDPR and according to the limitations identified in the Society’s data register.

**Personal Specification**

The Affiliate Societies Administrator should have at least one year’s strong administrative experience and also possess the following essential qualifications, knowledge and skills:

- Educated to an A-level standard or equivalent
- 5 GCSE or equivalent, including Maths and English

**Knowledge**
- Excellent administrative experience
- Good working knowledge of Microsoft office
- Skills in database use

**Skills**
- First-rate communication skills - both verbal and written
- Excellent administrative and organisational skills
- Enjoys working in a fast-paced and changing environment
- Able to work both independently as well as in team
- Able to demonstrate high level of initiative and be self-motivated
- Able to prioritise workload
- Able to pick things up quickly and work well under pressure

- Minute taking and Committee experience

**Job Types**: Full-time, Fixed term contract
Contract length: 12 months

**Salary**: £25,312.00-£28,477.00 per year
