Working in conjunction with the Access Manager and wider practice team you will support the delivery of safe, effective care of patients through the appropriate management of appointment booking templates to meet the needs and demands of patients across the Groups’ multi-disciplinary team. You will be responsible for ensuring that all tasks are completed in a profitable, efficient, safe and effective manner. The post-holder will effectively communicate with the wider team, supporting new ways of working through innovation.
The Access Administration Officer will develop good working relationships with:
- Patients, service users and customers
- GP, nurses and other surgery staff
- Other providers who work with the Surgery and MVOH
The post-holder will also work alongside the wider Administration Officer team to provide administrative and project support across a wide range of functions as deemed necessary.
**Key Responsibilities**:
- To support patients by effectively navigating and sign posting to the most appropriate clinician or service.
- To support the Management Team in the delivery of safe, efficient and cost effective responses to patient, employees, service users and customer requirements.
- Accurately maintain records and share up to date information relating to appointment availability and booking procedures.
- Provide administration support to the lead Access Partner, Access Manager and Senior management team as required.
- Ensure tasks set by the management team are undertaken to required quality standards and in line with information governance and DPA regulations
**Other Responsibilities**:
- Have an awareness of and be compliant with all relevant policies/guidelines, e.g. confidentiality, randomisation, data protection, health and safety.
- Undertake chaperoning duties.
- Effectively manage research study supplies.
- Undertake any other duties commensurate with the post holder’s grade as agreed with the principal investigator or management team, in line with the wider Administration Officer team.
- Effectively contribute to the financial processes of planning, running and closing clinical research studies.
- Support the implementation, progress and co-ordination of studies ensuring that studies are run in accordance with Good Clinical Practice (GCP) guidelines and the Research Governance Framework - providing an end to end service if necessary.
- Contribute to study developments as requested, including participating in the development and execution of relevant Standard Operating Procedures (SOP’s).
- Provide quality, accurate data to ensure completeness for the purpose of the study to be valid.
- Attend training and events to maintain competence.

**Communication**
- Adapt communication style and content to reflect different type of people when making contact with those interested in or participating in research studies
- Clearly communicate with patients to obtain consent, assess eligibility and provide on-going information to participants with regard to their participation in research.
- Able to receive sensitive or contentious information and process appropriately.
- Promote positivity and work effectively with the Principal Investigators and Sponsor companies to develop detailed and robust trial protocols ensuring effective and efficient use of research resources and ensure data is collected in accordance with GCP guidelines.

- In the course of undertaking trials seek to build trust with patients to gather, sensitive information in relation to their health and other matters with an expectation of respect for privacy.
- Whilst performing the duties outlined in this Job Description, the post-holder may have access to confidential information relating to patients and their carers, surgery staff and other healthcare workers. They may also have access to information relating to the Surgery as a business organisation. All such information from any source is to be regarded as strictly confidential.
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Surgery may only be divulged to authorised persons in accordance with the Surgery policies and procedures relating to confidentiality and the protection of personal and sensitive data.
