Operations Administrator

The primary function of this role is to support a range of business activities by accurately completing business admin, resolving client queries, managing company debtors and supporting the delivery of a top class customer experience.
**Responsibilities**
- Undertake company debtor management process including investigation and resolution of invoice queries
- Prepare credit note requests and raise credit notes once approved
- Arrange collections and deliveries with third party couriers and resolve logístical issues relating to customer orders
- Record and investigate customer complaints
- Attend performance and operational meetings
- Manage credit card payments for on-going customer hire orders
- Process off-hires of client rental orders
- Manage and resolve equipment damage / loss claims with clients after equipment rental orders
- Raise purchase orders on suppliers and receive orders on company ERP system when goods / services are received.
- Check supplier invoices against purchase orders, resolve queries and code invoices for payment
- Maintain company QHSE records to support QHSE reporting activities and performing QHSE inspections
- Manage client hire orders to maintain accurate expected off-hire dates in company ERP system
- Conduct client satisfaction survey process upon completion of hire orders and communicate feedback to internal stakeholders
- Other duties as may be required from time to time that fit reasonably within the role
- Provide annual leave cover for basic sales functions such as answer incoming phone calls, generating hire quotes and processing hire orders.
**Qualifications**
Required:
- Experience in an accounts / customer service role
- Proficient MS Office skills and ability to work with different bespoke software packages
- Excellent communication and interpersonal skills both written and verbal
- Attention to detail
- Ability to prioritise workloads to meet different deadlines
Preferred:
- Experienced of the provision of equipment rental services
