**Job overview**:
To work as part of a community integrated service that is responsive to the needs of patients within a defined caseload.

Working closely with the Urgent Response Nurses and Virtual Ward Clinicians, the post holder will provide an efficient and responsive administration function for the 2 hour Urgent and Virtual Ward team

**Main duties of the job**:
Assist clinical staff with ensuring patient records are completed correctly and in a timely way.

Arranges team meetings and multi-agency review meetings when necessary. Coordinates diaries, books venues and sends out papers and other relevant documents

Responsible for clinical stock ordering and control in liaison with other administrative staff and clinicians.

Supports the team to ensure they have all necessary kit available, and this is maintained and stored appropriately.

Ensures that electronic and any paper patient and staff records are filed accurately and in a secure system.

Responds to requests and queries for information within set guidelines.

Regularly checks the cleanliness and tidiness of the office environment and takes action to ensure any problems are resolved.

Reports any building or equipment maintenance problems via the Trusts Estates helpline.

Formats letters and reports to a high standard of accurately

Takes notes at meetings, as well as typing notes circulating agendas as necessary

Supports the Operational Manager to ensure any timesheets, and other HR forms are completed and submitted in a timely way, to ensure staff are paid accurately.

Assists the Operational Manager with any review of office or administrative procedures, by inviting and collating feedback from clinical and administrative colleagues. Contributes own ideas and suggestions.

- Educated to GCSE level in Mathematics and English to Grade C and above, or equivalent in experience
- Experience of working as a part of a team within the NHS.
- Setting up and running effective office systems
- Previous use of an electronic patient record system such as EMIS
- Ability to work under pressure, balance multiple priorities and meet deadlines
- Commitment to working as part of a team

- NVQ 3 in Business Administration or equivalent in experience
