**ABOUT THIS ROLE**

We are actively seeking a **People Team Administrator/Assistant to the UK & Ireland (UK&I) Managing Director** to join our dynamic UK&I People Team.

In this pivotal role, you will provide crucial support to both the UK&I People Team and Managing Director, handling tasks such as diary management, meeting cadence, acting as the initial point of contact for UK&I people queries, and overseeing people & payroll administrative tasks.

**JOB ROLE AND RESPONSIBILITIES**

**People Team duties**:

- Coordinate the full onboarding process of new starters, including offer and contract distribution, HRIS data processing, and right-to-work checks.
- Administer employee lifecycle tasks, such as contractual changes, benefits management, and leaver processes.
- Ensure accuracy of HRIS records and maintain UK&I People Team trackers.
- Responsible for maintaining UK&I People Team Trackers i.e new starter, budget and spend trackers etc.
- Support recruitment activities, including updating ATS, scheduling interviews, and managing vacancy approvals.
- Daily management of the People Inbox, addressing queries and escalating as needed.
- Production of People Data Reports including headcount, absence, and organisational structures and charts
- Assist with strategic People Team projects and other administrative tasks.
- Responsible for maintaining employee files ensuring they are kept up to date and are in line with GDPR requirements.
- Support with Employee Relations cases, evidence pack creation, note-taking, reporting, etc.
- Responsible for the UK&I People Team Communications e.g Bi-weekly Sleek Talker Newsletter, Spirit of ghd Awards, People updates/announcements etc.
- Administer UK&I payroll and maintaining accurate payroll records.
- Responsible for UK&I People Team Invoice management.

**Assistant to the UK&I Managing Director duties**:

- Proactively manage the UK&I Managing Director's diary, and meeting cadence, including quarterly townhalls.
- Organise overseas travel, including transport and accommodation.
- Prepare and submit expense claims.
- Provide general administrative support.

This list is not exhaustive, and additional responsibilities may arise as needed.

**REQUIREMENTS**

**Essential**:

- Minimum 2 years’ experience working in an administrative role, within an HR function.
- Excellent organisational skills to deliver efficient administration to internal and external People Team stakeholders in a timely manner, and a high attention to detail.
- An ability to manage all sensitive data with strict confidentiality, discretion and in a compliant manner;
- Adaptable communicator, who can act with professionalism and sensitivity, with an ability to listen and interpret instructions and feedback.
- Experience in Word, Excel and PowerPoint are essential to this role

**Desirable**:

- CIPD Qualified or a desire to work towards this.
- Experience of managing data within a HR Information System (HRIS).
