Working in a sensitive and confidential manner whilst providing administrative support to the specialist midwives. Assisting in the day-to-day running of the specialist midwifery team based with-in community midwifery services.

Working as a first point of contact for the specialist midwifery team, providing resources and dealing with enquiries from patients, staff, management, other professionals and agencies both internal and external.

To be responsible for maintaining and improving the quality of the data collected by the specialist midwifery team whom provide care to vulnerable women with complex needs.

Main duties of the job
- To be able to work unsupervised, taking any appropriate relevant action and the writing of correspondence as required.
- Assist the specialist midwives to produce training packages and advertising material using MS PowerPoint and MS Publisher. Co-ordinate training support materials in a timely manner.
- Produce client letters, reports, alerts to health professionals, clients and service providers.
- Participate in appropriate training courses and updates in accordance with Trust requirements and/or individual personal Development plans.
- Seek continually to improve the overall effectiveness of the post.
- Any other duties commensurate with the grade as defined by the Midwifery management.

Detailed job description and main responsibilities

KEY JOB RESPONSIBILITIES

**Communication and Relationships**
- Effective oral and written communication with other Trust staff and other specialist treatment providers both statutory and non-statutory. Maintain position of integrity, appreciating the need for confidentiality when dealing with staff and issues appertaining to this post.
- Deal with telephone enquiries and messages; acting as a point of reference for the specialist midwives.
- To communicate to a broad range of internal and external professional bodies and resolve queries using own initiative**.**:

- To work closely with the specialist midwives relating to data quality and collection.

**Planning and Organisation**
- Arrange, co-ordinate and attend service meetings relating to the specialist midwifery team.
- Produce agendas and comprehensive minutes, distributing in a timely manner.
- Manage team mail.
- Assist the daily specialist midwifery coordinator with planning and coordinating daily tasks.
- Establish and maintain filing systems.
- Book meetings and training courses for the specialist midwives as required.

**Knowledge, Training and Experience required to do the role**
- To have a working knowledge and experience of Microsoft Office software (including Word, Access, Excel, PowerPoint and Publisher) in order to provide efficient word processing of all reports, documents and correspondence and to accurately record and maintain various database/spreadsheet information.
- Awareness of confidentially/data protection issues
- Knowledge of an electronic clinical data collection system.
