**ABOUT US**

This is an exciting time for Living Paintings following increased engagement in the last 12 months thanks to the success of our recent ‘Coronation Project’ _(did you see us on BBC1’s The One Show?)_. We have also just launched our new and ambitious 10 year growth strategy. We are looking for someone to join a really friendly bunch of people who like to laugh as well as work hard. You will be providing admin support to our busy publishing department as they work to achieve their challenging targets.

**MAIN PURPOSE OF JOB**

The main purpose of this job is to provide all round administrative support to the Publishing Manager and team whilst co-ordinating our many volunteers. This is an exciting and varied position, playing a key part in supporting the charity’s volunteers, book publishing and production room manufacture department.

**WORKING ARRANGMENTS**

We are a flexible employer. This role can be full-time or for two part-time people, initially working in the office in Kingsclere, Berkshire. After a probationary period of training, hybrid working could be considered (minimum 3 days per week office based FTE).

We offer 25 days annual leave plus bank holidays rising by 1 day per annum up to 30 days when working on a full time basis.

**MAIN DUTIES**

**Within the Publishing Department**
- Support the Publishing Manager with a variety of tasks in the creation and publication of Touch to See books e.g. by booking celebrity contributors
- Co-ordinate the volunteer contributions to the origination of new titles including scriptwriters, road testers and volunteer readers
- Liaise with external suppliers and agencies as required, as part of the production process, e.g. publishers, printers, recording studios and audio producer.

**As Volunteer Co-ordinator**
- First point of contact for Living Paintings volunteers
- Responsible for recruiting new volunteers and working with relevant outlets to attract and secure new volunteers
- Working with the Office Manager, undertake the registration and administration of all new volunteers, ensuring child safeguarding training is scheduled and carried out within agreed timescales as appropriate
- Maintain a programme of contact and support for volunteers, to include updating the volunteer team with news via in-house notice boards and personal contact
- Co-ordinate all aspects of Volunteer Events e.g. plan and organise coffee mornings and seasonal events, create and send invitations, arrange catering and host events etc
- Ensure the environment and equipment, which enable volunteers to undertake their work, are kept in good working order and escalate issues to your line manager.

**Other**
- Undertake specific projects that may be additional to the tasks detailed above as agreed with the Chief Executive and/or Publishing Manager
- Ensure issues, concerns and problems are escalated where appropriate
- Act as a representative of Living Paintings
- Run/maintain specific administrative systems relevant to this role, including input to the Living Paintings main database (ACT).

**The qualifications and/or experience needed**:

- GCSE standard in English and Maths essential, and Further Education or equivalent experience
- A minimum of 3 years relevant work experience
- Supervisory experience is desirable
- Excellent IT skills
