We have an opportunity for an enthusiastic and conscientious Administration and Communications Officer to join our new and developing centralised PCN function that effectively supports its member medical practices. The role will primarily be involved in delivering administration support within the organisation, but also offers the opportunity to develop key business skills dealing with a wide range of stakeholders.

Our company is in its launch phase so this is an exciting time to join an organisation where you can really make a valued contribution and have an influence in shaping the way this post supports the PCN team.

As our first point of contact within the organisation you will have a professional and positive demeanour that positively projects our image out into the world. You will be a team player, enjoy working collaboratively and in return you will be supported to enhance and develop your current knowledge and skills.

This post is a full-time (37.5 hours) permanent opportunity with 27 days per year holiday + bank holidays. Full access to the NHS pension scheme will be available.

**Role Purpose**:
The role is to primarily maintain and develop the PCN’s administrative systems, to provide

comprehensive team administration support for events and meetings, reception duties, PA support to the Clinical Director and senior clinicians, support to the Practice Network Manager, ensure the smooth and safe running of the office, managing communications from the PCN to its stakeholders and beyond.

**Administrative Support**

1. To provide administration and office services:

- Providing administrative support including minute taking for board and sub-committee meetings, data entry and handling general enquiries
- Providing confidential secretarial support to Clinical Director, Senior Clinicians, and the Practice Network Manager
- Maintaining an electronic diary system of all key meetings and events
- Developing and maintaining filing systems on the intranet and Microsoft 365 in conjunction with other staff
- Providing administration support to a wide range of network-led events
- Ensuring adequate stationery and materials are available, including cleaning and catering resources
- Open, date stamp and distribute incoming post and deal with all outgoing mail
- Dealing with external contractors such as confidential shredding, IT provider, utilities, alarm and cleaning companies.
- Providing administrative support to the PCN Limited Company

2. To service Board and Panel meetings:

- Liaising with the PCN Manager and Directors to prepare for Board, Panel and other PCN meetings
- Taking minutes, circulating agendas and papers electronically and carrying out any other tasks necessary to ensure meetings operate effectively, including maintaining files
- Being responsible for provision of rooms, equipment and refreshments and or virtual meetings via Teams or Zoom.

**Communications Support**
- Maintain accurate database records
- Oversee the staff communications platform and provide guidance and training on the platform for staff
- Managing and monitoring the company’s external social media platforms and ensure these are updated regularly.
- Supporting the day-to-day drafting, delivery and scheduling of communications activity
- Coordinating with stakeholders across the company to draft written content to reach diverse audiences across the company's external and internal digital channels
- Compiling, editing and distributing internal and external newsletters, and creation/editing of digital assets
- Support in tracking, measuring and reporting communications effectiveness

**Other duties and responsibilities**
- Undertake such other duties and tasks as may lie within the scope of this post.
- Promote the aims, principles, policies, interests of the organisation and protect its integrity

and reputation.
- Abide by health and safety guidelines and share responsibility for own safety and that of colleagues.

**Salary**: £23,949.00-£26,282.00 per year
