**As a **Private Office Admin Support** your main responsibilities would be**:

- Liaise with relevant teams on specific financial issues. Establish existing outstanding requirements and works required and plan work to meet those deadlines. Establish dependencies with projects and work on cash and banking transitions. Document changes and new procedures for future use and provide financial support across the projects.
- Role Support the Staff Engagement Officer with all aspects of admin work associated with delivering the Engagement Strategy. Work with the Director’s private office to organise regular directorate wide meetings, including regular bird table meetings and quarterly all staff forums.
- Working with the senior leadership team and other groups across the Directorate to coordinate the agenda and speakers for these meetings. Assist with the admin for the Reward and Recognition Group and the People Group Support with delivery of corporate communications with through online channels.

**You’ll have relevant experience in**:

- Diary management.
- Support the team to balance a range of senior partner meetings, advising on urgent requests and suggesting delegation of meetings when necessary.
- Communication with Senior Leaders.
- Arrange meetings and requests from internal and external partners.
- Self starter and Enthusiastic.
- Checking availability of attendees; booking rooms; providing conference call details; issuing appointments; rescheduling if necessary; arranging deputies and ordering refreshments and collecting visitors if needed.
- Run agendas, taking notes.
- Assisting in staff engagements.
- Prepare meeting papers, obtaining background papers, briefing notes, etc and liaising with meeting organisers or others to ensure the Deputy Director has everything they require.
- Attend, Minute, and record Actions and Decisions for meetings.
- Booking travel arrangements for the Deputy Directors, and occasionally the wider team when necessary.
