**Summary**:
The role of Facilities Operations Officer sits within the Defra group Property business unit. We are responsible for providing Property Management services to the Defra group across its corporate estate, including office, depot, and laboratory assets. Contracts in support of estates services (e.g. Facilities Management and Estates Asset Management Services) are primarily outsourced, with the team providing the Intelligent Client Function both strategically and operationally to its customers & stakeholders.

Facilities Management (FM) teams manage our network of 158 offices and depots to provide safe, well maintained, legally compliant and productive workplaces for our staff as well as a range of business support services to help our people work safely, effectively, and efficiently.

This role plays a significant part in the delivery of services to our customers focusing on managing our buildings and workplaces and meeting expectations of being a great place to come to work. This role will support all aspects of day to day hard and soft FM services, including contract and supplier management in addition to supporting maintenance and minor works through our third party supplier.

The purpose of this post is to assist in the provision of services on our premises, making sure that they comply with Health and Safety legislation, thereby ensuring a safe working environment. The post holder will work under the direct supervision and line management of the Facilities Team Leader.

**Job description**:
To support all aspects of the Facilities & Estates Management service delivery model in a multi-disciplinary team. To deliver specific outcomes for customers / stakeholders and with specific responsibility for delivery of services and projects.

**Key Responsibilities**:
1. Supporting the role of the team in the delivery of services to customers and key stakeholders at all levels

2. As directed by a Service Delivery or Team Leader: Responsibility for quality of Management Information inputs, including gathering, processing, and validating information to input into reporting within prescribed timelines; Estates Dashboard; FOI (freedom of information); PQs (parliamentary questions); customer surveys.

3. Organise and maintain information storage and retrieval systems and ensure that information is up to date and readily accessible to facilitate departmental workflow.

4. Delivering secretariat outputs for identified governance boards or key site meetings, if required; including setting agendas, note taking, producing actions and monitoring outputs

5. Managing records, working to defined processes and procedures; portfolio data management; financial processing which will need to be carried out within defined timelines

6. Assist with preparation of Environmental Management System audits and Compliance Assurance Visits (CAV), as needed

7. Act as an initial point of contact, communicating and filtering information for the team so that advice and support is delivered accurately and standards and priorities are met

8. Raising and processing of purchase orders and invoices on financial systems and assisting the team in any aspect of financial management process and support

- Service Suppliers (e.g. Mitie, Montague Evans, Capita)
- Defra Group Agencies (e.g. Environment Agency, Naturel England, Animal & Plant Health Agency)
- Wider government departments such as Office of Government Property (OGP), Cabinet Office (as needed for the role).

**Travel and Working Arrangements**

Please note this role is based on site. There may be an occasional requirement for travel to other sites. A driving licence is therefore required.

**Responsibilities**:
