Outpatient Receptionist Co-ordinator

An exciting opportunity has arisen to join our Outpatient Receptionist Team at Walsall Healthcare as Outpatient Receptionist Co-ordinator. The successful applicant will confidently provide day-to-day co-ordination of our thriving Outpatient Reception Team and associated functions, ensuring all functions are carried out in accordance with agreed procedures and timescales and reporting to their line manager as necessary
As this is a public facing role the post holder will promote a harmonious and professional atmosphere
Sensitivity and confidentiality is of paramount importance as access to a wide range of confidential sensitive and patient identifiable information is routine to the post
The post holders will be expected to communicate on a multidisciplinary level with clinicians, doctors, other medical staff and but not limited to administrative staff
Cache up Outpatients clinics avoiding potential risks to patient care and subsequently avoiding clinical incidents.
Produce 4 week rotas for Outpatients Receptionist staff
Demonstrable experience using Careflow, Microsoft Packages such as Word, Excel and PowerPoint
Confidently be able to analyse cashing up data and co-ordinate mitigation plans if backlogs should occur
Walsall Healthcare NHS Trust is an integrated Trust and the only provider of NHS acute care in Walsall, serving a population of 286,700, providing inpatient and outpatient services at the Manor Hospital as well as a wide range of services in the community. Walsall Manor houses the full range of district general hospital services under one roof. The £170 million development was completed in 2010 and the continued upgrading of existing areas ensures the Trust now has a state-of-the-art Critical Care Unit, Neonatal Unit, Obstetric Theatre, and Integrated Assessment Unit facilities. Work is also well underway on its multi-million pound new Urgent and Emergency Care Centre which will house a new Emergency Department (including Children’s Emergency Department), co-located Paediatric Assessment Unit, Acute Medical Unit and Urgent Care Centre. This is scheduled for completion this year.

- To supervise the outpatient reception team (inclusive of those visiting other sites) including the day to day coordination, conducting induction and training for new staff members, conducting appraisals and managing sickness absence.
- To rota the staff accurately to enable sufficient staffing levels at all times.
- To ensure that reception duties and booking of appointments are carried out accurately, in a timely manner and in line with Trust guidelines.
- To ensure that all clinic outcomes are actioned in a timely manner on the system in line with Trust guidelines.
- To ensure that the Trust's PAS system is accurately maintained on a daily basis with up to date information.
- To deal with queries escalated by the reception team.
- Communicate by phone /in person with patients, administrative and clinical colleagues within trust guidelines.
- Ensure that all outpatient reception staff are up to date with their mandatory training and oversee all e-learning.
- Deal with more complex enquiries from patients including informal complaints relating to reception functions.
