**THE SITE**

Camp Dragon is located in beautiful and leafy North Oxford, just a short walk from the city centre, Jericho and beautiful university parks. A large school with excellent facilities that still manages to have a small, homely feel Camp Dragon gives our staff and students 22 acres to play with and be able to enjoy beautiful spacious facilities without sacrificing a city location.

Designed by language learning experts and qualified play workers, our summer camp provides an immersive learning experience for children aged 8 - 12 from around the world. Explore a range of themes through interactive lessons, inspiring workshops, and amazing activities. With up to 80 young learners Camp Dragon is a truly unique camp encouraging young people to discover, develop, and dare.

**THE ROLE**

The Camp Administrator has a significant administrative and resourcing role within the summer school management team. Key responsibilities include the procurement, preparation and collation of resources for the learning programme, resourcing and administartve support with the end of course camp celebration, administration of on-site finances, implementing HR administration onsite, managing all student arrival and departure administration, maintaining office & IT stock, and generally ensuring the office is a vibrant, effective & organised workspace. Strong communication, organisation and administration skills are essential, alongside the ability to work flexibly and under pressure.

**CAMP ADMINISTRATOR SPECIFIC DUTIES**
- Learning Programme Administrative Duties:

- Working with wider management and staff team to identify resources and materials to procure, create and collate for the learning programme.
- Administer and maintain paperwork connected to the Programme (e.g. registers, records of work, weekly planners, student reports, etc.).
- Ensure reports and leavers’ certificates are produced on time.
- Provide feedback on the SBC syllabus and academic processes at the end of the summer.
- Support the delivery of the ‘Showtime’ events, creating an exciting and collaborative environment.
- Support the preparation and delivery of the final ‘Reach for the Sun Celebration’.
- Further Administrative Duties:
- Lead responsibility for the administration of the on-site summer school financial records:

- Collect all receipts and use Microsoft Excel and Banking Apps to record all spending.
- Manage and administer the on-site petty cash system.
- Assist with the collection & distribution of student pocket money (where applicable)
- Maintain close & regular communications with the SBC Finance Team.
- Take responsibility for supporting the SBC Head Office HR Team with HR administration on-site:

- Using templates provided by Head Office, create and maintain the Staff Noticeboard
- Prepare site-specific staff arrival packs, staff uniform & ID cards for staff arrival on-site.
- Under direction of the HR Team, collate outstanding paperwork to send to Head Office.
- Work alongside the Summer School Director to plan and book staff meals & socials.
- Take a lead role in the set-up and upkeep of the Summer Camp Office and admin stock including monitoring office refreshments and ordering more as needed.
- Set-up the Summer School Office & IT, liaising with the tech department where necessary.
- Manage the Admin & IT Stock: store, maintain, monitor use & restock when needed.
- Ensure the office is a clean, vibrant and organised work space throughout the summer.
- Maintain the Office Log; including signing in and out visitors & administering parental visits
- Manage the procurement of additional stock required for the summer school programme
- Take the lead in the inventory and pack down of stock at the end of the summer
- Prepare and oversee the on-site administration for all student arrival and departure days.
- Use mail-merge to print and collate documents for student arrival packs.
- Set-up the check-in room and check-in desks and prepare refreshments.
- Take a lead role in the welcome & check-in of students and their families on arrival days.
- Be committed to the safeguarding and welfare of students in your care.
- Support the wider management team with administrative tasks where required.
- Adhere to all Health and Safety measures (including COVID safety measures, risk assessments and other policies and procedures).

**MANAGEMENT DUTIES**

- Ensure the safety, well-being, and positive experience of all Campers inline with SBC Safeguarding Policies and Procedures.
- Ensure appropriate positive standards of student behaviour and support students inline with SBC's Positive Behaviour Management Policy
- Support site supervision through evening and overnight cover/duty and meal supervision if needed.
- Commit to and follow all SBC health and safety procedures, emergency procedures, and risk management measures.
