10-15 hours per week.

This role requires an exceptional individual who wants to make a difference. As a senior admin worker and support worker, you will be responsible for providing high quality admin systems and support to clients within the branch.

You will ensure the smooth running of the refuge, including the admission of survivors of domestic abuse and other admissions to the refuge as well as case working some clients.

The ability to work as part of an on-call rota is essential and occasional evening work in emergency situations.

EHUK is a project of the Muslim Welfare House Trust. We are amongst the leaders in providing supported accommodation for BME and women of faith facing DV and other types of abuse and neglect. We are an expanding organisation in the UK, with our first branch opening in 2015 and currently running four branches across England. We pride ourselves on a family ethic, professional approach to work and relationships within and outside our organisation and supporting women and children who are not only vulnerable due to the abuse they have suffered, but who are also vulnerable due to their insecure visa status and isolation from knowledge of English language and British systems of support. We are proud to be members of Women’s Aid.

An enhanced Disclosure Barring Service (DBS) certificate will be required for this role.

**Main Senior Administrator duties**:
1. Maintaining effective administrative systems; ensuring good practice and confidentiality of database and other data in the office and in general.

2. Overall responsibility for the maintenance of an Access Database containing client details, and extracting reports on a regular basis and as required.

3. Overall responsibility for fundraising and maintaining a comprehensive online and in office filing system.

4. Overseeing the booking of rooms and organisation of facilities for meetings, support sessions and the Board when necessary.

6. Administrative support to the Director/ Manager.

7. Liaising with internal and external staff and contacts as instructed.

9. Attending and taking minutes of meetings, when delegated.

10. Supporting meetings (e.g. Board of Trustee meetings) and organising and coordinating events (Eid and other gatherings).

11. Cooperating in delivering Health & Safety Policy/ Fire procedures including evacuation procedures.

12. Receiving the rent and service charges from clients on a timely manner and seek payments of bills.

13. Forwarding bills and relevant letters onto the Director.

14. Organising and updating the financial spreadsheets and filing invoices and receipts.

15. Logging and organising the building maintenance and repairs including decoration, cleaning of carpets,

repairs to the rooms etc.

16. Taking emergency referrals and phone calls within office hours on some days you are not in the office.

17. Dealing with emergency situations with clients in your branch out of hours when required i.e.

emergency repairs, fire alarms sounding, medical emergencies.

15. Undertaking all other duties as requested.

Person Specification Essential:
Desirable: 1. An understanding of charity and voluntary sector governance issues. 2. Experience of working in the voluntary sector and/or servicing committees. 3. Experience of project management and fundraising. 4. A demonstrable understanding of the problems encountered by people seeking refugee protection. 5. A knowledge and understanding of marketing tools and techniques To undertake petty cash responsibilities as required by the line manager.

To provide any reports or monitoring statistics as required.

To ensure that the office doors and filing cabinets are secured on leaving the building and during working hours.

To work within the confines of confidentiality and ensure that professional boundaries are always maintained when working with residents, staff and external bodies. To ensure that security of sensitive information and data is maintained.

To attend any meetings or training either internal or external as requested by the line manager.

To work within and implement all EHUK policies and procedures, especially those on Individual Support, User Involvement, Health and Safety, Equal Opportunities, Confidentiality and Security.

To report any problems/difficulties/complaints to the line manager as soon as possible.

To carry out any other duties that may be required by the line manager.
