Fleet Systems Officer

We are currently recruiting for a Fleet Systems Officer to work within the Chiltern Transport Consortium for Thames Valley Police and will be based at Howes Lane In Bicester.
This is a temporary ongoing position working 37 hours a week Monday to Friday.
They are looking to pay £17.91 per hour.
PLEASE NOTE IF SUCCESSFUL YOU HAVE TO UNDERGO POLICE VETTING AND YOU MUST HAVE RESIDED CONTINUOUSLY WITHIN THE UK FOR AT LEAST 3 YEARS.
The overall purpose of the role: provide Chiltern Transport Consortium (CTC) a line management function for insurance and telematics systems, providing data insights to drive member forces strategic decisions
KEY ACCOUNTABILITIES
- Manage and develop staff within CTC Fleet management department ensuring processes are efficient, regularly reviewed and updated as required, integrating with other fleet processes where appropriate. Deputise for the Fleet Services & Logistics Manager at internal/external meetings as and when required supporting the effective, efficient and economical operation of the CTC vehicle fleet. Work closely alongside CTC Fleet Services Officer to provide support and cover when required to provide business continuity.
- Manage and oversee all accident records and reporting, working with Insurance Claims Handlers and external stakeholders to ensure reporting accuracy and data integrity is maintained at all times. Responsible for the timely provision of both scheduled and ad-hoc data requests, providing scheduled reports and further analytical information surrounding accidents to inform both CTC and member force strategic decisions and direction. Represent CTC at meetings where required to provide motor insurance support, including the SEERPIC Motor Claims Handler Group.
- Manage the Claims Technicians and Telematics Support, conducting reviews to improve and refine processes, ensuring efficiency, accuracy and compliance is achieved at all times This includes, but is not limited to accident recording, claims handling, data provision and telematics maintenance. Maintain awareness of industry changes to ensure compliance with new regulations and/or changes that may require process changes, for example, the injury claim reform.
- Manage and oversee the telematics systems, ensuring data integrity is maintained and accurate and informative reports can be obtained when required. Effectively manage the team to ensure that the telematics equipment is installed and maintained correctly to assure validity of data. Ensure internal and external stakeholders are able to obtain relevant and accurate data, with supporting analytics, including, but not limited to dashboards and visual data analysis. Represent CTC at meetings as required both internally, externally and nationally
- Act as professional/technical lead for Force Procurement for on-going Insurance, telematics and other systems contract management and re-tendering processes. Attend supplier meetings and work as an integral part of the contract management process, raising and logging issues to support improvement/escalation, to provide service provision that meets CTC/stakeholder requirements.
- Act as the CTC SPOC for all insurance and telematics working groups (including regional and national) benchmarking against other forces, sharing best practice approaches and ensuring continual process improvement takes place.
- Raise orders for vehicles across a range of vehicle manufacturers and vehicle conversion companies from quotation through to invoice sign off. Liaise with manufacturers to update on delivery lead times and confirm vehicle receipt and/or onward delivery to conversion company, working closely with the Fleet Manager and Fleet Services & Logistics Manager.
ESSENTIAL SKILLS/KNOWLEDGE
- Qualification/proven experience in first line management e.g. performance management, conflict management and employee development.
- Experienced in preparing and writing reports, administration policies and procedures.
- Experienced in establishing and modifying end-to-end processes to maximise efficiencies of day-to-day operations.
- Experienced in building working relationships with internal and external stakeholders.
- Advanced IT skills including Microsoft Office (primarily MS Excel), and Fleet Management/Logistics packages or proven ability to adapt to and learn new systems quickly.
- Must have capability to travel to different locations across the Force and undertake all assignments in a timely manner, being available to work some evenings and weekends, where required. Due to the requirement to work flexibly, unsocial hours and personal safety for lone working; public transport may not be available or suitable at these times. For this reason a full UK driving licence is considered essential *.

- Qualification/relevant experience in motor vehicle industry and fleet management activities.
- Experienced in motor claims handing, insurance and/or vehicle telematics systems.
