JOB OVERVIEW

We are looking to appoint an experienced administrator to provide an
efficient, comprehensive secretarial, clerical and administrative
support service to the Head of Facilities and other managers within
the Facilities function.

The postholder will be responsible for the day to day supervision of
other secretarial/clerical staff within Facilities in terms of
workload and training and will assist with the smooth running of the
office including covering for colleagues during their absence.

The Post holder will be expected to work accurately under pressure
with the ability to manage and prioritise own workload; provide and
receive complex, sensitive, or contentious information which may
require tact,
diplomacy and persuasive skills.

MAIN DUTIES OF THE JOB
- Responsible for co-ordinating and managing the diary of the Head

of Facilities and arranging meetings including arranging venues,
preparing and distributing agendas and accompanying papers.
- Providing comprehensive secretarial and administrative support to

other members of the Facilities Management Team in order for them to
deliver a professional and full service to the Trust.
- Responsible for taking and transcribing formal minutes at

departmental and Trust forums.
- Dealing with enquiries using tact, diplomacy and observing

confidentiality
- Planning, organising and prioritising own workload ensuring it

meets agreed deadlines whilst being flexible in approach and taking
into account unforeseen circumstances and the possibility of changing
deadlines at short notice.
- Meeting and greeting people wishing to see/or leave message in

person for Head of Facilities and other Facilities Managers in their
absence and dealing with routine issues if possible or refer to
relevant person.
- Using knowledge and experience to propose changes to own working

practices for own area.

WORKING FOR YOUR ORGANISATION

The successful post holder will work within a friendly team supporting
the Facilities Management Team.
