Administrator for Send Therapies

Job Introduction
To work as part of an administrative team providing a high quality and responsive single point of contact, booking appointments for our SEND Therapies Service in West Essex, based at Treehouse Family Hub in Harlow.
The post holder is responsible for triaging telephone calls to ensure efficient day to day operation of processing appointments and referrals across the services. The role may require a small amount of travelling to and working from our other delivery hubs or offices in West Essex. We will allow the flexibility to work from home when pre agreed with line management.
Main Responsibilities
Your days will be** varied, task-orientated **and include:
- Maintaining therapist ledgers.
- Sending meeting requests and managing responses, may be involved in some minute taking.
- Monitoring of generic mailbox & escalating relevant queries for response in appropriate timeframes.
- Ensuring a timely response to requests across all the West Essex specialist services.
- Liaising with other services and professionals to collect information relating to the SEND therapy services.
- Liaise closely with parents and guardians of patients for correspondence, appointments, information when required.
- Logging all information onto SystmOne, including appointments, referrals, post, telephone information, contact details, maintaining a high level of accuracy and tact.
You will also need to be confident using IT systems and be able to demonstrate working knowledge of Microsoft Office packages i.e. Outlook, Word, Excel.
Previous Office experience would be preferable along with experience of working with confidential & sensitive information and data.
Experience of working within Children’s Services or in an NHS environment would be desirable.
