**Job overview**

As we continue to expand our PCN team we are looking for a General Practice Assistant to join us to and help the PCN support our community and improve the health and wellbeing of our patients.

We recognise the opportunity that additional health professional skills can offer within Primary Care and are seeking to expand our established team to improve the quality and sustainability of the care we offer.

**Main duties of the job**

The role of the GPA is to support the partners and practice managers in the effective administration and smooth running of the practice. Working under the direction of the practice manager, striving to enhance a number of key systems in administrative areas.

The GPA will also champion quality and improvement programmes, service delivery, learning and development.

This role is pivotal to improving the quality of care and operational effectiveness and requires a motivated and passionate individual to deliver excellent service within general practice.

The primary workplace is The Mill Medical Practice with the occasional need to work across one or more of the five practices in the Network.

**About East of Waverley PCN**

We are one of five practices in the East of Waverley Primary Care Network, along with Binscombe Medical Centre, Cranleigh Medical Practice, Springfield Surgery and Wonersh Surgery. Our Primary Care Network meetings are monthly with attendance from a Lead GP and Practice Manager from each practice.

Our Primary Care Network works with three other PCNs as part of the Guilford & Waverley Health and Care Alliance, supported by the Procare GP Federation.

**Job description**

**Job responsibilities**

The following are the core responsibilities of the GPA to practice manager. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

- Supporting the practice manager as required with projects, systems and procedures
- Undertaking tasks as directed by the practice manager in areas of change management and continuous improvement, to include CQC.
- Supporting and contributing to the development, implementation and embedding of an effective practice training programme for all staff
- Appointment reporting, in advance of the weekly clinical meeting to enable insight in to availability, absences and cover requirements
- Supporting practice managers with the weekly clinical meeting, to include: Setting up meeting room, managing MDT calendar. Attending the weekly clinical meeting, producing minutes and sharing with clinical team. Keeping track of Audits and Significant Events discussed, ensuring actions are assigned/completed within the agreed deadline.
- Coordinating internal and external meeting arrangements, preparing agendas and producing minutes for meetings where required
- Administrative lead for the Infection Prevention and Control Team, supporting the Lead nurse by arranging meetings, agenda and producing minutes
- Overseeing workflow within the Emis Clinical system
- Docman housekeeping
- Adding and monitoring GP/ Registrar/Paramedic/First Contact Physio/Pharmacist clinics
- Sending out of area letters
- Ordering supplies
- Arranging staff socials
- Drafting of the practice newsletter on a quarterly basis
- Establishing a PPG group and being the main point of contact. Arranging meetings, liaising with our patient representative, preparing agendas, producing minutes and agreeing actions with the practice managers
- Supporting the practice manager in the maintenance of the practice and NHS Choices websites
- Effective monitoring and reporting of the Friends and Families Test
- Undertaking all mandatory training and induction programmes
- Attending a formal appraisal with their manager every 12 months
- Maintain a clean, tidy and effective working area at all times

**Secondary Responsibilities**

In addition to the primary responsibilities, the GPA may be requested to:

- Provide support for the office manager and deputise in their absence?
- Assist with the recruitment of staff as requested by the office and practice manager
- Support the practice manager and IT leads in the reviewing and updating of practice policies and procedures
- Contributing to public health campaigns (e.g., flu clinics)
- Participate in audit and directed by the practice manager/partners
- Undertaking new patient health checks
- Facilitating routine and 24-hour BP monitoring, advising patients accordingly
- Acting as a chaperone as required
- Represent the practice locally as required
- Undertake any tasks consistent with the level of th
