Job Purpose

The Executive Assistant is responsible for providing executive and administrative support to the Group CEO.

The primary job responsibilities include:

- Provide professional, comprehensive and confidential executive support to the CEO.
- Efficiently and effectively manage the day-to-day operation of the CEO from the critical to the trivial.
- Diary management: scheduling meetings and calls ensuring that tasks and appointments are updated on a daily basis.

**Key Accountabilities**
- Proactively manage the CEO’s electronic calendar, mailbox, and operational obligations - arranging meetings as appropriate with accurate notes
- Ensure that matters arising from meetings are dealt with by the appropriate people within agreed timescales.
- Support the CEO in a wide range of settings internal and external and work efficiently with the Senior Leadership Team.
- Liaise with the Group CEO regarding the events of the day and following up actions.
- Ensure that the CEO is aware of relevant requests from staff, and vice versa, by managing an even flow of information in an appropriate manner.
- Make any telephone calls as requested and follow up any resultant actions.
- Organising meeting rooms/lunches/external facilities and attend meetings as required, taking accurate notes
- Confidentiality is always maintained.
- Respond positively with tact, sensitivity and awareness to all stakeholders in relation to duties undertaken
- Draft correspondence and other documentation to the Group CEO’s specification including management packs and PowerPoints for board and leaders’ meetings
- Process expenses monthly and co-ordinate travel where required including flights, hotels, transfers and itineraries.
- Provide administrative support to the executive team as/when required
- Support with generalized office duties as/when required
- Ad hoc duties as required**Skills and Experience**:

- Proven experience in an EA/PA capacity at a similar size company
- Expert in the use of business communication tools including Microsoft Office.
- Excellent written and oral communication skills.
- Self-directed, with the ability to work proactively and autonomously.
- Confident personality with excellent interpersonal skills.
- Ability to build relationships - both internally and externally
- Excellent time management skills and high attention to detail and a naturally organised.
- Proven track record of successful business operational involvement.
- Proactive and flexible approach to work
- Ability to work with complete discretion and confidentiality

- Strong rapport and relationship building skills with internal/external customers
- Strong sense of responsibility and accountability, results driven
- Methodical in approach with sound analytical and problem-solving skills, and keen attention to detail
