Reaching people works in specialist area including, equality, health and social care, education, sport, advice and information services.

Reaching People is the trading name of Leicestershire voluntary sector resource agency, registered charity number 107 2595 and a company limited by guarantee, number 357 6786.

We have been running an exciting Leadership learning, development and training programme in Leicester and Leicestershire. The programme is funded by the Lottery Community Fund. Its aim is to build the capacity of future social leaders, to be skilled, resilient, confident, and collaborative in their approach to the challenges that the VCS sector operate within.

**Administrator (Leading in Leicester and Leicestershire Programme)**

**21 Hours a week**

**Salary £21,850.50 pro rata**

**Responsible to the Strategic Project Lead**

**The post holder will need to work flexibly according to the needs of the programme**

**Fixed term contract: Funded until February 2024**

**The purpose of this job**
To provide excellent administration and event planning to the Strategic Project Lead. To ensure, that the programmes are widely promoted and events well attended.

**Areas of responsibility**:
**1 Administration**:
Maintain admin files or make recommendations for improvements if needed.

Maintain the LLL Data base -charity log - to include all those who have been on the LLL programmes and those approved targeted organisations or institutions.

As directed to populate the website with up-and-coming courses and workshops or revisions, posts and documents that content is suitable for display.

To populate the Eventbrite booking system for each course, workshop, and event.

As directed regular mailouts and adverts for courses and workshops to targeted groups.

Extract from the website the applicants for each course or workshop and ensure they are send joining details and follow up with feedback forms post event.

Ensure that trainers, mentors and coaches return the feedback forms after each course or workshop. Use to collate for future promotion or reporting.

Maintaining testimonials and other forms of feedback from all activities. Support the evaluators with Mail outs for wider engagement at the end of the programme.

Receiving invoices and delegate fees for approval and sign off.

Issuing of CPD certificates for participants on all courses as required.

Populate the KPI report for the Lottery and the Board of Trustees and ensure sign of report before submission.

Any other administration to support the LLL programme to promote the courses and workshops. Any other administration work as need to support Reaching People to achieve its strategic leadership goals.

**2 Organisational and planning**:
Regular liaison with Project Lead to maintain the planned programmes and ensure administration workflow.

Responsibility for the booking and organising of all in person or online events: i.e. training event bookings, celebration, tasters, guest speakers at CEO meetings.

Coordination and welcome of participants to engagement events.

Working with the strategic lead on legacy developments.

**Person specification**

**Experience and Qualifications**:

- **Education to GCSE or above.**:

- **2 year’s experience in a customer focused or working in an office environment.**:

- **Experienced of organising an event (s).**:

- **Experience of working or volunteering in the charity and or social enterprise sector.**:

- **Experience of software packages.**:

- Creative packages (Canva or equivalent).
- CRM system (charity log or equivalent).

**Skills required**
- Good attention to detail.
- Ability to stay calm under pressure.
- Methodical and thorough approach to work.
- Good communication.
- Good at juggling tasks and prioritising.
- A great team player.
- A desire to show initiative.
- Excellent time keeping.

**Desirable**:

- Experience of administration and processes needed for promotions.
- Use of social media.
