This is an exceptional opportunity for an Executive Assistant (EA) to provide support at Board Level based in the Executive Office.

You will be used to constant prioritisation, acting as a gatekeeper and playing an ambassadorial role in the absence of the Directors you support, whilst working closely with the senior management and external partner organisations.

The post holder will provide an efficient and effective Executive Assistant service to the Executive Directors, Non-Executive Directors and Executive Office Team including the handling of routine and non-routine duties.

The Executive Assistant will be expected to manage their own workload and coordinate their activities in conjunction with and supervised by the Executive Office Manager to ensure that an efficient support service is provided.

It is essential that the post holder can exercise initiative and effective people management skills suitable to the role and is fully supportive to other colleagues in the Executive Office team.

You will have supported at an Executive Assistant level before, be friendly, flexible, highly approachable and professional, switched on, able to work to deadlines, a strong team player with great communication skills and able to think ahead as well as outside the box with meticulous organisational skills. Strong MS office skills, experience of working in a highly confidential environment and previous experience as an EA.

Mid Cheshire Hospitals NHS Foundation Trust (MCHFT) provides good quality, safe and effective healthcare to the people of Cheshire and beyond. The Trust, which manages Leighton Hospital in Crewe, Victoria Infirmary in Northwich, and Elmhurst Intermediate Care Centre in Winsford, was established as an NHS Trust in April 1991 and became a Foundation Trust in April 2008.

We employ almost 5,000 members of staff, provide around 540 hospital beds, with a range of services including accident and emergency, maternity, outpatients, therapies, and children's health.

The Trust is also part of Central Cheshire Integrated Care Partnership (CCICP), a unique local health partnership that provides a range of community services for people across South Cheshire and Vale Royal.

During the Coronavirus pandemic, the Trust was recognised nationally for its ‘Be Safe Be EquiPPEd’ campaign, which aimed to make the Trust as safe as possible for staff and patients, through supporting the correct use of PPE. The results in the 2020 national NHS Staff Survey showed improvements in all elements of the safety culture theme, with 92% of respondents feeling their role made a difference to our patients. We were also recognised nationally for our workforce health and wellbeing initiatives.

1. To work closely with the Executive Directors and their deputies, Executive Office Manager and Executive Assistants, across all aspects of their work to ensure a complete understanding of their workload.
2. Use initiative in all areas of work in the absence of or on behalf of the Executive Directors and ensure that they are kept informed. This involves a high level of prioritising and problem-solving skills.
3. Ensure that important issues that have a significant impact on the role of an Executive Director are brought to their attention in a timely manner.
4. Manage the multiple and complex demands of an Executive Directors time and proactively manage diaries by forward planning and organising regular meetings and events.
5. Ensure that the Executive Directors are aware of appointments and that all relevant documents are prepared for each meeting and any travel arrangements/accommodation are in place.
7. Take accurate minutes at meetings as and when required and transcribe within set deadlines whilst disseminating information.
8. Bring actions from meetings to the attention of the relevant Executive Director and liaise with the appropriate members of staff.
9. Develop and continually improve effective information management systems. This includes maintaining an efficient brought forward system to effectively monitor work that has been delegated elsewhere and progress/chase outstanding items.
10. To prioritise and plan own workload as appropriate and deal with and find solutions to the problems as they occur, working autonomously for a considerable amount of the time.
11. Provide cover for the Executive Office in order that a seamless service is provided
