**OFFICE MANAGER**

**WHAT QUALIFICATIONS DO YOU NEED?**
- Educated to GSCE or equivalent, including GCSE (A- C) in Mathematics and English.
- Evidence of accredited learning at NVQ 4 or equivalent relevant to the post.
- Willing to undertake necessary training when required.
- Evidence of recent and relevant training**.**

**WHAT ARE YOUR KEY RESPONSIBILITIES?**
- To provide residential caretaker services to ensure the general security, safety and maintenance of the premises.
- Managing office service staff.
- Organise office operations and procedures.
- Lead on energy management, evaluating energy and monitoring use, establishing processes, procedures and systems that increase efficiency and reduce carbon and energy-related costs.
- Develop a strategy for the management, marketing and delivery of all room hire services and client needs for the development of associated income generation.
- Coordinate with IT Manager on all office and meeting equipment
- As budget holder, manage the facilities budget for all aspects of office services and room hire.
- Manage contract and price negotiations with service providers and cleaning service contracts.
- Ensure compliance with Health & Safety practice, ensure a safe and clean working environment.
- Carry out and maintain Risk Assessments, audits, on-site security and provide quarterly reports.
- Coordinate office moves and meeting room set up, help with manual handling tasks.
- Manage and coordinate meeting room set up, catering and IT equipment.
- General upkeep of office services, working with the team on the routine maintenance programme.
- Project manage and oversee the construction and renovation of the building, obtaining permits and licenses from appropriate authorities.
- Manage contract and price negotiations for building projects.
- Responsive troubleshooting by which all faults may be dealt with speedily and efficiently.
- Provide reception cover and general support to visitors.
- Carry out facilities inductions with all new London based staff.
- Required to work outside normal working hours from time to time.

**WHO ARE YOU AND WHAT DO YOU NEED TO BE SUCCESSFUL?**
- Experience of working in an office environment at senior level.
- A strong strategist with the experience of developing business models and commercial plans.
- The ability to manage conflicting priorities in a timely manner.
- Strong organisational, decision making and problem solving skills.
- Knowledge of procedures and regulations relevant to leading a support function.
- Knowledge and experience in building energy management and reducing carbon emissions.
- An experienced negotiator in gaining value for money contracts.
- Excellent numeracy and communication skills (both verbal and written).
- Experience of Microsoft Office packages to include Word and Excel.
- Strong contract management skills, budgeting and maintaining accurate financial records.
- Ability to organise, lead, motivate and develop staff.
- Passionate about saving energy, being environmentally friendly and reducing carbon emissions.
- Warm and approachable manner and the ability to relate to a wide range of staff and visitors.
- Ability to prioritise and work to tight deadlines whilst retaining professional composure.
- Awareness of the importance of confidentiality and data protection.
- Ability to work on own initiative and as part of a team.
- Smart professional appearance.
