**Job Summary**:We are looking for a committed, enthusiastic, and highly motivated workflow coordinator to join our practice team. The main aim of the role is to manage the flow of all correspondence received by the practice such as hospital letters, reports, and patient communications that are passed to clinical staff for review.

This is a key role to help alleviate work pressures for clinical staff and free up time to focus on delivering patient care.

Experience of working in primary care or in similar role would be an advantage; however training will be provided.

**Key Result Areas**:

- Receive and process all scanned clinical correspondence working strictly in accordance with agreed workflow protocols.
- Processing and filing all correspondence received in practices and prioritising for GPs in terms of actions, safety netting against potential delays due to workflow demand.
- Signposting correspondence to members of the practice multi-disciplinary teams as appropriate, such as clinical pharmacist etc.
- Identifying and extracting all relevant information and actions from clinical correspondence received and input on Practice Unbound Template
- Ensure accurate data entry of relevant information from incoming correspondence, medical coding and filing on to patient medical records (e.g., diagnosis, investigations, results, history, medication etc.).
- Ensure medical records will have the accurate and relevant information required to deliver high quality patient care and monitor practice performance through the NHS Quality and Outcomes Framework (QOF) to ensure we maintain service delivery.
- Facilitating actions outlined in correspondence received, e.g. scheduling appointments, referrals, tests and follow up appointments of patients in a timely manner.
- Work with practices to support delivery of any national and local targets.
- Process and assist the management of private work, managing the paperwork from DWP including PIP & universal credit forms, liaising between GP and external agencies including hospital, insurers, solicitors, patient.
- Record on the clinical system when a request has been received and creating invoices.
- Action and process form efficiently as possible.
- Using the IGPR system to provide medical records following confidentiality practices.
- To support the Clinicians as a GP Buddy,
- Process the ACCURX online administration requests for fit notes
- Assist in Summarising new patient records
- Process Rose Cottages
- Cover reception as and when deemed necessary by a member of the management team.

- Develop relationships and work closely with community, hospitals, pharmacy colleagues and the wider health system

**Essential**
- Primary Care Experience
- Good communication (written and verbal)
- Attention to detail and methodical
- Time management skills and ability to work to deadlines
- Work well under pressure, Able to work unsupervised.
- Able to use own initiative, Self-motivated and enthusiastic
- Commitment to personal development.
- An ability to use own judgement, resourcefulness, and local knowledge, to respond to enquiries and requests while adhering to practice limitations.
- Ability to take on board ad hoc queries and assignments and resolve independently.

**Qualifications**
**Essential**

GCSE Grade A to C in English and Maths, Keyboard skills, Good administrative and organisational skills, Practical experience of computerised recording systems, Excellent telephony skills and phone manner, Understand and maintain confidentiality.
