Receptionist/administrator

We are looking for someone who is enthusiastic, professional and personable with excellent communication and organisation skills for the position of Practice Receptionist/Administrator, to start as soon as possible. It is for 9am to 1pm, Mondays to Fridays, and you will also provide mínimal CDT Assistant’s cover (for example, taking notes in the surgery if required) for holiday/sickness absence. You need to have excellent people skills, and be computer literate in Microsoft Excel, Word, some Powerpoint and Google Calendar.
Receptionist duties include:
- Responding to all patient enquiries and requests for information.
- Booking and amending appointments.
- Sending appointment reminders.
- Handling payments.
- Keeping the reception area tidy and organised.
Administrator duties include:
- Proactively ensuring all paperwork and forms are in order during the denture making process.
- Dealing with suppliers to place orders and settle invoices.
- Handling all correspondence.
- Negotiating new service contracts.
- Handling all payments using online banking.
- Submitting invoices to dentists for laboratory work completed.
- Maintain accounting Excel spreadsheets, updating monthly and preparing to submit to Accountants at the end of each financial year.
- Filing patient records.
- Maintaining the practice website and Facebook page.
- Handling the official complaints procedure.
Previous experience of similar administrative work is essential, experience of reception work is desirable. You will need a sympathetic and calm demeanour, as many patients are very nervous, and be able to plan and prioritise your own job, working without supervision as the responsibilities of each of the three members of staff are very clearly delineated with little overlap.
**Company description**
We are a private practice owned and run by the Clinical Dental Technician (CDT) who sees the patients and makes the dentures. There are three members of staff - the CDT, his assistant who works with him in the surgery and the workshop, and the office administrator who deals with Reception and all administrative tasks.
**Job Types**: Part-time, Permanent
**Salary**: From £13.00 per hour
Expected hours: 20 per week

- GCSE or equivalent (preferred)
**Experience**:
- Customer service: 1 year (preferred)
- Administrative experience: 2 years (preferred)
