Endoscopy Coordinator

Ensure that all performance management requirements as directed by the Admin Team Leader are met for self and team.
Ensure that all technologies and equipment are utilised to their optimum functionality to assist in the provision of an efficient, effective and comprehensive endoscopy waiting list and administration service, ensuring that all aspects of endoscopy waiting list management are delivered within targets at all times. to support the provision of care to patients.
Ensure that all work outputs for both self and team are produced to a high standard of quality that meets all of the organisations requirements for Information Governance and CQC and which is compliant with all associated national, regional and local policies, procedures and guidelines
Oversee the work of support staff in their work area, giving direction on a daily basis, dealing with any work related issues as and when required, escalating any unresolved issues to the Admin Team Leader or their nominated deputy for advice/guidance.
Be responsible for all administrative booking, appointing and scheduling processes associated with patients referred to the endoscopy service, working cross-site to ensure that continuity of service delivery at each site.
Be responsible for all administrative procedures, IT systems, data inputting and reporting processes relating to Endoscopy Global Rating Scores, Endoscopy and Surveillance Programmes.
Oversee the training and development of admin staff within the work area.
Ensure standardised working processes and coordination of workload between hospital sites.
Supervise and deploy staff where and when necessary across sites to meet the continuing and developing needs of the service and escalate issues of concern to Unit Manager / Admin Lead. This often requires being reactive as the first point of contact for the team. This requires coordinating and re-prioritising the teams tasks and responsibilities and recording on health roster.
Monitoring and recording of sickness, absence and annual leave with accurate recording maintained in line with Trust Policies and Procedures.
Carry out appraisals identifying personal development for each member of the admin team and setting objectives.
Assist delivery of an efficient waiting list ensuring that all patients are seen within the required timescales and in accordance with Local and National policies.
Ensure quality checking processes are put in place.
Identify availability of Endoscopists and arrange cover where appropriate.
Escalate when additional capacity is required to meet waiting list targets and liaise with Unit Manger to ensure additional capacity is organised.
To ensure that information relating to cancelled procedures is passed to the appropriate team and arrangements made for the procedure to be rescheduled within the necessary timescales.
Produce timely and accurate audit and activity reports as required.

Ensure that comprehensive quality checking processes are put in place to carry out regular, systematic validation of the waiting list via the weekly pivot tables including those patients suspended for clinical and other reasons and for patients that are on the surveillance / screening programmes.
Oversee the maximum utilisation of all available endoscopy sessions at all times to ensure that all sessions are fully booked wherever possible, ensuring appropriate case mix of patients.
Identify availability of Endoscopists and arrange cover where appropriate to enable planning and organising of the Endoscopy timetable ensuring best use of available resources to meet required demand.
Identify when additional capacity is required to meet waiting list targets and liaise with Unit Manger to ensure additional capacity is organised effectively and in a timely manner with best use of resources.
