Governance Support Officer Band 4

MPA Recruitment Armagh are with the **Southern Health and Social Care Trust **to help Recruit a Band 4 Governance Support Officer in the Armagh Area.
**JOB SUMMARY**
The overall purpose of the post is to provide administrative support to the
Governance Lead and Assistant Governance Managers and the Governance
Support Manager for a range of activities and special projects relating to
Governance.
**KEY DUTIES / RESPONSIBILITIES**
**1. **Ensure the efficient processing of documents, incoming mail/letters, distribution
of mail/files/documents and answering phone queries.
**2. **Maintaining an up to date storage and filing system, entering data on risk
management systems, responding to routine requests for information and
generating standard reports.
**3. **Responsible for the recording of all governance related invoices, attaching
relevant Purchase Order, entering data onto system and forwarding to
Governance/Assistant Governance Manager for funding allocation and
approval.
**4. **Assist senior Governance staff in managing the Procedure for the reporting and
follow up of Serious Adverse Incidents.
**5. **Planning, co-ordinating and arranging conferences/workshops or training
events and maintaining appropriate records.
**6. **Assisting in organising senior governance staff work programmes and oversee
the planning of the Assistant Governance Manager diary, work programme and
scheduling of meetings.
**7. **Servicing various working groups related to governance by preparing papers,
reports, agendas, taking and transcribing formal minutes and following up
action.
**8. **Undertake any other duties and projects as may be assigned from time to time.
**GENERAL REQUIREMENTS**
The post holder will be required to:

**4. **Contribute to ensuring the highest standards of environmental cleanliness within
your designated area of work.
**5. **Co-operate fully with regard to SPPG policies and procedures relating to infection
prevention and control.
**6. **All employees of the Organisation are legally responsible for all records held,
created or used as part of their business within the SPPG including patients/clients,
corporate and administrative records whether paper-based or electronic and also
general public, with limited exceptions, under the Freedom of Information act 2000
the Environmental Information Regulations 2004, the General Data Protection
Regulations (GDPR) and the Data Protection Act 2018. Employees are required to
be conversant with the SPPG policy and procedures on records management and to
seek advice if in doubt.
**7. **Take responsibility for his/her own ongoing learning and development, in order to
maximise his/her potential and continue to meet the demands of the post.
**8. **Represent the Organisation’s commitment to providing the highest possible
standard of service to patients/clients and members of the public, by treating all
those with whom he/she comes into contact in the course of work, in a pleasant,
courteous and respectful manner.
**and is not intended to be rigid and inflexible but should be regarded as providing**
**guidelines within which the individual works. Other duties of a similar nature and**
**appropriate to the grade may be assigned from time to time.**
**It is a standard condition that all SPPG staff may be required to serve at any location**
**within The Organisation's area, as needs of the service demand.**
**Qualifications/ Experience Required**
**1a) **GCSE Maths and GCSE English (A-C)
**OR **equivalent qualification to demonstrate literacy and numeracy
**OR **higher qualification
**AND **2 A Levels, equivalent qualification **OR **higher qualification
**AND **18 months’ relevant experience*
**OR**
**1b) **3 years’ relevant experience. *
**(**Relevant experience is defined as experience in an office-based, environment, minutes taking, filing, diary, maintenance, making travel arrangements and using Microsoft Office packages including Word, Excel, PowerPoint and Outlook)
**37.5 hours per week**
**Monday - Friday 9am - 5pm**
**3 months initially maybe reviewed after***
**Salary**: £12.25 per hour
