Job description

To lead a team of Facilities Assistants, ensuring a high-performance culture and demonstrable Fit For King's values (the directorate's customer service programme). To deliver the directorate's brand promise of world class services for a world class university.

To lead and co-ordinate the delivery of one or more of the following Facilities Management Services to meet the requirements of the College timetable with particular regards to the needs of College staff, students, and visitors:
The portering service, coordinating activity to meet the demands of increasing space utilisation.

The postroom, driving efficiencies and customer satisfaction through continual improvement.

The logistics of deliveries, coordinating receipt of goods from couriers and their redistribution.

This post will be offered on an indefinite contract.

This is a full-time post - 100% full time equivalent

Key responsibilities

Ensure the Facilities Assistants are trained to identify hazards in classrooms, lecture theatres and communal areas, and take appropriate action in accordance with College operating procedures, e.g. escalate risks, implement temporary measures to cordon off hazardous areas, and ensure it complies with Health & Safety regulations.

Ensure all risk assessments are completed and act as risk assessor to make sure risks have been assessed prior to the jobs being carried out by members of the facilities teams.

Assist in an initial response to any emergency situations, and coordinate in the event of emergencies evacuations or drills.

Responsible for portering services, e.g. classroom/ event set-ups; the portering of goods, furniture, equipment and stationeries; a removal service to assist with office relocations and refurbishments.

Responsible for the smooth running of the full end to end mail service, which includes the receiving, sorting, recording, franking, and delivery of internal and external post and packages, maintain proof of delivery should queries arise. Making sure the appropriate systems are developed, updated and specific to customer needs.

Develop, maintain, and implement written process and procedures relevant to the Post Room/ Loading Bay.

Ensure that Facilities Assistants adhere to security procedures and report system failures specific to checking goods in and processing suspicious items.

Have a full understanding of relevant employment policy and procedures as the role is responsible to manage team members personal records, e.g. Teamseer the College's absence management system. Identify and escalate staff capability and disciplinary matters to the Campus Operations Manager. Hold regular team meetings, setting out clear objectives on performance and customer service expectations. Identify best practice amongst Facilities Assistants and share insights at team meetings.

Build strong working relationships with the wider Campus departments. Ensure the working relationship between various departments are constructive with open channels of communication.

Monitor the quality of all services provided to customers. Constantly review team working practices to drive service improvements. To ensure all pre planned and reactive facilities work orders raised via the university's CAFM system Planon are completed to the appropriate standard within SLA, and then closed out on the CAFM system.

Act as a key contact for the Service Desk for Facilities Management issues, and manage communication between the Service Desk, the operations team, and other stakeholders.

To proactively manage and monitor the disposal of WEEE, bulky and confidential waste from the site, adhering to college protocols.

Undertake such other duties appropriate to the level and character of work as may reasonably be required within the Department. For example:
Ordering of skips and coordinate their exchange.

Monitoring grit level across campuses during winter season.

Monitoring of teaching space furniture, equipment, staff uniforms and office supplies.

Assisting with the traffic control of couriers to goods inwards/ loading bay.

Maintaining Campus notice boards and general posters are regularly checked.

Removing any obstructions from Fire Emergency escape routes.

Take ownership of the campus grounds and pathways, ensuring they are attractive, safe and well maintained. Report any issue of concern with the King’s Service desk.
