York and Scarborough Teaching Hospitals NHS Foundation Trust is looking to recruit an enthusiastic and dynamic individual to join the Medicine Care Group Administration Team as an Admin Assistant, based at our Scarborough Hospital.

The role will involve supporting the day to day running of the services which covers several specialties. Tasks include: Producing accurate minutes/notes from recordings of Teams meetings and some note taking in meetings to again produce accurate minutes/notes of that meeting. You will provide a full secretarial service, including diary management, for several of the senior management team, completion of electronic staff record forms and monthly checking of NMC Registrations.

You will be required to prioritise own work load and make judgements in relation to, for example, resolving conflicting Diary appointments and/or meeting arrangements.

The role also includes covering for colleagues during periods of absence due to sickness or annual leave.

We are looking for an individual that can work to high standard, who pays attention to detail and accuracy and has good written and oral communication skills as well as possessing excellent telephone communication skills.

You will be required to work well under pressure, with the ability to prioritise the demands of a busy office and manage their time and workload efficiently. They will also be willing to be adaptable and flexible to meet the needs of this very busy service.

- Minute/Note Taking from recordings and in person meetings to facilitate productions of an accurate record of the meeting.
- Provide a full secretarial service to a set group of managers, including; diary management for several of the senior management team, production of letters and reports and other documents as required from.
- Aspects of the recruitment process, including completion of Electronic Staff Record documentation, ordering yellow name badges, arranging ID badges, and checking of NMC registration.
