Make appropriate preparations for all admissions, to ensure that a smooth and professional service is provided to all patients/ Ensure that Case Notes and associated documents are properly maintained in a complete, orderly and accurate state, thus ensuring their suitability for use by medical and midwifery staff at all times. Ensure medical case notes are tracked in and out of the ward using the electronic patient admin system and electronic case note ordering programme.

To assist women during their visit to the Department, collecting accurate and appropriate
data from them and providing advice and assistance to ensure a smooth visit for all
patients who attend the Department.
7.2 Will be required to participate in the communication of highly complex information within a
multidisciplinary team both verbally and written format.
Follows policies and procedures set out within the role, offering suggestions to improve
systems as appropriate.
May be required to explain and demonstrate departmental procedures to less experienced
colleagues. Responsible for accuracy of data collection as part of day-to-day practices.
Observes a personal duty of care with equipment and resources used in the course of day
to day work.

Maintain good relationships with women accessing Maternity Services and other members of staff, ensuring a high degree of confidentiality, complying with the Trust’s Information Governance policies at all times. Similarly to ensure that women are dealt with in an equitable way, providing individualised care.

Be an active team member with joint responsibilities for providing a high quality service within the team, taking part if necessary to work in a flexible way in providing cover to the maternity service. Assist Midwifery staff with preparation of documents, patient wrist bands, labels etc.

Distribute department mail, thus ensuring that correspondence is dealt with in a timely manner. Providing basic general office duties such as photocopying, preparing packs for care provision.

Communicate with a multidisciplinary team, information that at times can be highly complex and represent the department in a professional manner when responding to enquiries, ensuring an appropriate response is made.

To respond in a timely manner to internal and external telephone enquiries, making a judgement as to ensure messages are accurately dealt with or forwarded onto an appropriate member of the team.

Provide both administrative and clerical support within the Department.
Maintain accuracy and completeness of all electronic records, following policies and procedures for the recording of data on the patient admin system

Record activity on the electronic patient administration system as appropriate, thus aiding the contracting process. To ensure responsibility for personal development and keeping up to date with appropriate changes and developments affecting the service, thus ensuring ability to carry out the role as appropriate.

Attend mandatory Trust study sessions as required. Similarly to offer views and suggestions in relation to service and procedure changes to support the values and objectives of the Trust.

Take responsibility for raising any problems in relation to health and safety thus contributing to the maintenance of a safe working environment.

Carry out assigned duties, which maintain hygiene, orderliness and safety in the Department and ensure security arrangements are observed to comply with good practice.

Report any untoward incidents, accidents and other relevant information to the trained staff.

Ensure the department stationery is readily available and stocked in the appropriate areas
