Based in the head office in St Mellons, Cardiff an opportunity has arisen for a Compliance and Governance Co-Ordinator** **to work within the Compliance and Governance Team.

Reporting to the Head of Compliance and Governance and working as part of a friendly finance team with a strong emphasis on staff welfare.

**General Management**

Collation, formatting, distribution and reporting of the Compliance Audit programme.

Attend for the purpose of meetings organiser and minute taking for the Compliance Team Meetings, Quality & Policy Forum and Health & Safety Meetings.

Assist with the continual attainment of the ISO 9001 & 27001, assist with ISO 18001 & 14001 certifications.

**Practice Expectations**

As directed by the Director of Compliance and Governance & Head of Compliance & Governance: to undertake administrative and supportive duties to the Compliance Team.

To assist in preparing all submissions to all our regulators and ensure central verification of the following:

- Registrations of Homes, Managers and Variations- CQC PIR, CIW Annual Returns & equivalent- Submission of notifications via the portals.- Formal response to Inspection reports- All formal correspondence with any of these bodiesTo work within Shaw systems (including but not limited to) Service Improvement Plans, Audit system, Incident Management System, My. Shaw portal, G drive.

General administration, correspondence, liaison with internal and external clients and regulatory and statutory bodies.

Distribution of Regulatory reports and recording of distribution to services alongside the Head of Compliance & Governance.

Working on Statutory Notifications and their reporting.

To identify correspondence of an urgent or sensitive nature and ensure it is brought quickly to the attention of the appropriate person.

To fulfil role of central complaints administrator & respond to compliments.

Ensure our compliance with GDPR and Data Protection legislation including reviewing and updating the processes and software tools associated with Subject Access Requests as well as working with the Head of Compliance & Governance in fulfilling relevant SARs;

To liaise with HR to in team functions in Scottish Social Services Countersignatory & Social Care Wales Countersignatory.

To lead on policy updates, dissemination and system updates.

Ensure all spreadsheets are maintained and updated regularly.

Ensure services remain compliant with NHS Capacity tracker submissions.

Assist with the updating of Service User Guides and Statement of Purpose’s.

To assist on Compliance audits if/when required.

Lead on Survey distribution and collation.

To draft & review any formal correspondence.

Any other administrative and managerial duties as instructed.

**Information Security Responsibilities**

Ensure you understand your responsibilities for sharing information, care of equipment and remaining confidential and private.

Lead on all salient record requests and data protection queries.

Ensure compliance with legal obligations when releasing data/records.

**Relationships**

To ensure escalation of queries to relevant persons are completed and followed up within reasonable timeframes.

Lead on archiving procedures and liaison with services and our archiving provider.

To assist in co-ordinating KPI information for the Compliance Team, associated Shaw committees and groups.

Co-ordinate the informing, distribution and responding to legal representatives and Coroners.

**Health and Safety**

As an employee of Shaw, you must:
Work within our Health and Safety processes within Head Office & when in Services.

Follow the company’s policies and procedures, training and instruction you have received while at work.

Immediately report and Health and Safety concerns to your Manager.

**Essential Criteria**

Professional work experience in the field of or related to business compliance & governance.

Practical knowledge of GDPR and Data Protection and regulatory issues and practice, including safeguarding.

Excellent organisational and analytical skills and attention to detail.

An understanding of the principles and practice of risk management, compliance & governance.

Evidence of having worked collegiately to deliver goals/objectives.

High level IT skills

Flexible and able to think quickly and move rapidly from one area of work to another.
