**28 hours per week, fixed term, 12 months maternity cover**
The People Services team at Mountbatten, Isle of Wight works collaboratively to deliver an efficient, friendly and high-level service to its customers. We now have an opportunity for someone to join the team on a fixed term basis for a 12 month maternity cover. We are looking for an enthusiastic person who has a passion for HR, enjoys working as part of a team and wants to make a difference to the lives of our people, patients and community.
**About the Role**
As a People Co-ordinator you will be the first point of contact for the department, ensuring high standards of discretion, courtesy and confidentiality. You will provide support on all aspects of HR, including HR Administration, HR Systems, payroll admin and conditions of employment.
This is a busy role, but one that offers a sense of achievement and the opportunity to develop a range of coordination and high-level administration skills as well as an understanding of Mountbatten and how we deliver our outstanding patient care to our community.
**About You**
- You will have experience of carrying out Human Resources or payroll related tasks and have excellent communication skills, both written and verbal
- You will have strong administration skills with a customer focused attitude, an eye for detail and a can-do attitude
- You will have strong IT skills, preferably with experience of using and updating HR or payroll systems.

**Overview of Role**
The postholder will be the first point of contact for the People Services Department and, as such will be expected to maintain high standards of courtesy, discretion, and confidentiality at all times. The postholder will provide support on all aspects of HR to include HR Administration, HR Systems, honorary agreements, DBS checks, payroll admin and conditions of employment.
**Key Tasks**
**1. HR Administration**
- Carry out general administrative tasks for the department such as;
- Drafting and issuing of new contracts of employment
- Contractual Change Letters
- Resignation Acknowledgement
- Exit Interviews
- Notification to payroll of all new starters, contractual changes and terminations within the agreed deadlines
- Monthly reporting to SMT
- Responding to reference requests
- Ensuring all HR Systems are up to date
**2. Probationary Review and Appraisals**
- Support managers in ensuring all 12 and 24 week probationary reviews are completed and returned to People Services within the time specified.
- Ensure all returned probationary reviews and appraisals are uploaded to the relevant HR System.
- Notify the People Partner of employees who have not had their annual appraisal completed and support manager in completing.
**3. HR Systems**
- Assisting with queries on the HR System for employees
- To always ensure accuracy and data protection compliance on the HR systems and records
- To ensure all new and existing employee details are recorded accurately on the HR systems as required.
- To provide reports as and when required for management purposes
- To provide weekly reporting on sickness absence, notifying the People Partner when employees have reached the trigger point for informal meetings.
**4. Honorary Agreements**
- Issue honorary agreements as required to individuals once all clearances are completed and recorded, ensuring the return of the signed agreements.
- Main point of contact for Mountbatten with external organisations
- Ensuring all individuals have the necessary occupational health/DBS/reference clearances in place prior to providing services to patients of Mountbatten and advising Managers on any non-compliances
- Ensuring DBS 3 yearly checks are completed on those individuals who remain providing services to Mountbatten
- Maintaining the Honorary Contract is updated and relevant filing/archived
**5. Occupational Health**
- Be the primary contact for queries in relation to employees Occupational Health/Immunisations as required
- Organise the necessary clinics for immunisations/flu jabs/health checks/DSE Assessments etc.
- Ensure that timely correspondence is sent to employees to ensure their attendance at clinics, notifying their managers of their required attendance
