What’s the scope?
This HR Assistant role is an exciting opportunity to shape the Jeanswear brand’s future.
The role is an exciting opportunity to support the HR department in providing a high quality, efficient and customer centric service. Ensuring that each process within the employee lifecycle complies with policy.
As our HR Assistant you will;- Prepare and issue all employment related letters - including but not limited to: Contracts of Employment/New Starter packs for staff and new starters, promotions, and transfers, ensuring all relevant approvals have been raised.- Complete all elements of the new starters and leavers checklists, ensuring all relevant paperwork is received and filed in a timely manner, and all relevant trackers are updated.- Maintain probationary reviews, issue forms, and follow up on a timely basis.- Manage the process for onboarding and exit surveys and interviews.- Inputting personal data into Workday system on a timely basis. Ensure employees are set up and maintained accurately e.g., by department/store/location, coalition, brand, etc. and that all necessary information is completed.- Scan and file all employee documentation accurately onto Workday.- Adhere to all HR and Payroll policies. Ensuring compliance with any updated policies.- Deal with ad hoc employee requests e.g., HR queries, references, directing payroll queries to relevant team, etc.- Supporting the Payroll Team in collating all monthly pay related information for separate payroll entities. Ensure that payroll related information is shared for the relevant month and is accurate.- Eligibility to Work - ensure compliance and relevant checks are conducted for all employees, including repeat annual checks and follow-ups.- Benefits Administration - ensure all benefit schemes are up to date on a monthly basis with any starters, leavers, and where relevant employee changes.- Support on all initial employee relations cases - providing first line support to employees and managers relating to policies, procedures, and performance.- Process all employee leave types (Maternity/Paternity/SPL/Compassionate/Bereavement etc.)- Employee Engagement - actively participate in the Employee Engagement Committee, taking responsibility for internal communications from the committee as well as leading and supporting on organizing events.- Support on local department recruitment needs, liaising with agencies and support on organizing interviews when required.- Support on ad-hoc regional HR projects.
Skills for Success:
- Minimum requirement GCSE’s or equivalent.- Experience from within an HR/Admin office environment.- Enthusiastic, with a ‘can-do’ approach.- Organised, logical, able to prioritize a high workload.- Strong interpersonal skills to deal with a variety of people.- Excellent communication skills, both verbal and written.- Works well under pressure.- Accurate & thorough.- Flexibility to take on anything that comes their way.- Confidentiality, discretion.- Good PC Skills with accurate input - Word/Excel/Internet/Workday would be a bonus.- Team player.- Self-starter, have initiative.
