**Role**: HR Coordinator / Administrator
- Location_: Manchester City Centre (Hybrid 1/2 days per week)
- Salary_: £21-24k depending on experience
- Hours_: Flexible 37 hours per week (Mon-Fri)

**Overall purpose of the Job**:To provide administrative support to both the HR Manager and the Governance & Administration Manager. To be the lead administrator in the operation of democratic, internal governance and HR activities and processesacross The Union

**HR & General Administration**:To support the HR Manager in the coordination of activities and processes which enable us to attract and retain talented people:

- Contribute towards people projects and initiatives as required.
- Coordinate the recruitment, on-boarding and exit processes in liaison with relevant Line Managers and advising payroll staff of relevant information within required deadlines.
- Coordinate reward and recognition schemes and promote the range of benefits available to staff.
- Prepare employment documentation and ensure this is received, accurately processed and stored.
- Devise and update relevant templates, forms and documents.
- Maintain HR systems, records and staff files, ensuring that these are accurate, and data is held in line with relevant legislation.
- To provide administrative support and assistance for the Union including preparing meeting papers for dispatch, maintaining filing and archive systems, processing invoices and ordering stationery and hospitality.
- To provide effective administrative support and assistance for the Trustees and Chief Executive as directed by the Governance and Administration Manager
- To offer support with travel and accommodation bookings for Union staff

**Committee Servicing and Service Delivery**: To support the Governance & Administration Manager by:

- Ensuring high standards of service delivery are maintained in decision-making boards and committees in the Union.
- Assisting with drafting agendas, undertaking the preparation of papers and reports and coordinating the timely preparation of papers and reports by others, proofreading reports, minuting for the Union Officers Group weekly meeting, and Union LeadershipGroup meetings and following up action points.

**Internal Governance**: To support the Governance & Administration Manager by:

- Assisting with the development and production of new or revised Union governance policies and procedures to enhance the Unions internal governance arrangements
- Assisting in the production of high-quality reports for consideration by the Union Leadership Group, the Trustee Board or other meetings of the Union as may be requested in relation to governance.
- Coordinating effective Union wide communication of the Board/Committee and Union Leadership Group’s work and decisions.
- Assisting with the co-ordination of relevant and timely communications to Trustees to help keep them informed of developments in the Union and the sector.
- Assisting with the organisation of Trustee events

**Information Management**
- To assist with the secure archiving, information management of all papers relating to the decision-making meetings of the Union
- To assist with the development and maintenance of systems for the storage and retrieval of meeting papers and other relevant material
- To assist with the development and maintenance of the HR and governance section of the Union Website to provide an accurate information source and meet regulatory compliance.
- To assist with the development and maintenance of databases, spreadsheets and systems within the HR, Governance and General Administration team to help improve efficiency and ensure deadlines are met and the produce high quality management informationand reports relevant to the area.

**The post holder shall**:

- Attend meetings and training events as required.
- Comply with Union policies, procedures and constitution at all times.
- Comply with Environmental Legislation and both support and promote measures introduced within The Union to lessen environmental impact.
- Contribute to the positive and professional image of The Union and not act in such a manner as to bring The Union into disrepute.
- Undertake any other duties appropriate for the grade and responsibilities of the post that may from time to time be reasonably requested.
- Have a flexible approach to duties and work and, in particular, adopt a team work style with departments and activities across The Union. This may involve undertaking duties in support of the activities and services of other departments.
- Understand and uphold the mission, vision and values of the organisation and be always guided by them in the course of work.
