Support Service Ward Secretary

We are looking for a committed, reliable ward secretary to join our administrative team to support the clinical teams from a secretarial and administration perspective. You will be directed, guided, and supported by the Team coordinator but will at times work using own initiative within the boundaries of the role.

We provide a high-quality support service which is integral to the success of the service, and we are looking for someone who feels they can enhance the admin provision already being provided.

You will be an experienced team player who has the skill, knowledge, and the right attitude able to assist in the delivery of a high quality, accurate and timely support service. You will be self-motivated and able to work effectively, in what can at times be a pressurised environment. You will have good networking skills able to approach, discuss and advise the clinical teams surrounding the support you will provide.

You will have the following skill and experience, minute taking experience, excellent word processing skills, the ability to work as part of a wider team, proficient user of the Microsoft package and the ability to accept instruction from the Team coordinator. Previous experience in a similar post will be beneficial.

The Leeds and York Partnership NHS Foundation Trust (LYPFT) is the main provider of Mental Health and Learning Disability services in Leeds. We also provide specialist inpatient services in York and some highly specialised services across the country. The role will also require excellent communication skills, organisational skills, knowledge/experience of digital dictation systems. You will have good skills surrounding electronic systems i.e. EPR (electronic patient records) and the ability to work independently but able to accept direction from the Team Coordinator as required.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED

The key knowledge, skills and experiences needed to undertake the role are:
Knowledge
- Excellent skills regarding meeting prep and minute taking skills with follow up action as required.
- Knowledge of general office duties (electronic and manual filing systems, faxing, photocopying etc.)
- Good working knowledge of Microsoft Office
- A minimum of 18 months administrative experience.
- Knowledge of a variety of software packages
- Working knowledge of electronic diary management
- Understands the responsibilities of working with confidential information.
- Knowledge of Mental Health Services (desirable

**Skills**:

- Excellent word processing skills at RSA 3 standard or equivalent
- Ability to organise, create, file and retrieve electronic and manual records.
- Excellent communication skills, verbal and written with service users, relatives and staff.
- Good numeracy and literacy skills.
- Ability to book meetings/appointments including preparing and sending out correspondence.
- Ability to take minutes for all ward related meetings including tracking follow up actions.
- Ability to make informed decisions with regard to patient enquiries within the boundaries of the role.
- Demonstrate the ability to prioritise work and meet deadlines with direction from the admin manager.
- Ability to work within a team and to communicate effectively within that team.
- Good organisational skills and ability to work under pressure.
- Demonstrate a positive attitude towards the implementation of new systems.
- Ability to cover for colleagues and to ensure the smooth running of the admin team during the absence of the Support Service Team Co-ordinator
