Kuehne+Nagel is looking for a proactive and highly-organised Personal Assistant to the National HR Director to join our diverse and dynamic team. In this role, you will have the opportunity to work on a global scale and participate in exciting initiatives throughout the organisation.
- ** Your Role **:To work closely with the National HR Director providing administrative support to ensure that the HR office runs efficiently and effectively. Managing senior level actions and ensuring that all areas are followed up and actioned. Acting as a project leader for creating major national events to support the wider KN UK Business.
- ** Your Responsibilities**:

- Provide daily, proactive and efficient secretarial and administrative support to the National HR Director by preparing them for meetings, including organising travel arrangements, itineraries, providing all supporting information and documentation such as agendas, minutes, papers etc.
- Act as point of contact for the HR Director; proactively managing internal/external inboxes, enquiries and communications, some of which may be of a sensitive and/or confidential nature.
Proactively coordinate schedules and calendar management: day-to-day meetings, including liaising with high profile and senior internal and external stakeholders.
- Support the drafting of a range of materials such as presentations and papers for meetings, including gathering data, researching material, creating PowerPoint presentations and ensuring appropriate input from colleagues/managers.
- Provide general administrative support to the HR Director and the HR Leadership Team with day-to-day tasks, as well as coordinating internal management procedures such as recruitment, induction and appraisal management, updating holiday and absence records on the HR system, completing and approving expense claims and other finance procedures with approvals.
- Organise or participate in teams coordinating events.
- Support the requirements of our regional and global HR colleagues.
- Provide ad-hoc administrative support to the wider Kuehne+Nagel business, contributing to business priorities, holiday and absence cover for the wider PA/Senior Administration team. Be mobile, we are a flexible working team that means we are where we need to be at any time, so travel in the UK should be expected

**Your Skills and Experiences**:

- Demonstrable experience of working in a proactive PA role to Directors and their Senior Teams with the ability to organise an effective diary within a clearly defined pattern to get the best out of the HR Director
- Experience within a HR / Legal environment would be beneficial
- Ambassador for HR - excellent at building relationships and presenting a positive view of the HR department
- Proactive - ability to manage their own workload and prioritisation; good at nudging to create resolution; adept at checking in for answers
- Completer - drive and desire to close down actions and complete the mission in a highly personable way
- Helper - willing to help the rest of the HR team where required
- On it - highly organised and structured - knows what good looks like and will implement frameworks where they are missing
- Can Do Attitude - has a growth mindset and is constructive
- Communicator - simple and effective for both written and verbal skills
- Discreet - known for high trust levels - what they see is for their eyes / ears only
