As an Executive Assistant, you will undertake a variety of administrative and project management tasks. In this role, you will support the UK Regional Head, the Head of Customer Led Development, Europe, and the UK Head of Sustainable Investment and Partnerships. Furthermore, you will manage the Support Services Team and build strong relationships with our service suppliers.
Key Responsibilities:
Executive Assistance:
- Diary and Inbox Management for the respective heads you will be assisting.
- Coordinating and managing meetings, property visits, and business events.
- Oversea travel arrangements and handling of necessary documents.
- Assisting with project management.
- Liaising with regional and international teams.
Support Services Management:
- Leading weekly team meetings for servicing updates and project discussions.
- Manage administrative support across all businesses, ensuring all-round coverage.
- Guiding and mentoring other Assistants in the UK or Europe as required.
- Recruitment responsibilities include arranging for temporary staff and collaborating with the People & Culture Team during full-time staff recruitment.
Event Planning & Coordination:
- Organising and managing internal events such as UK Town Halls, Summer Events, and Christmas Parties.
- Coordinating "Gong-bang" ceremonies to celebrate new deals or employee recognition.
- Championing the UK Impact Day, overseeing project suggestions, logistics, and collaborations with different stakeholders.
Team Management:
- Direct management of the Office Managers in Solihull and London, and a Finance Assistant.
- Facilitate performance reviews, and manage goals, objectives and development planning for direct reports.
Supplier Relations:
- Maintaining relationships with our travel and hotel agents to secure the best rates and service.
- Coordination with our kitchen service supplier.
- Managing chauffeur company for internal and external events and site tours, helicopter requirements and private flights.
- Invoice approvals in collaboration with the Finance Assistant.
Sustainability Initiative Involvement:
- Coordinate and participate in Sustainability Activities and new Wellbeing strategy initiatives.
- Organise Green Group meetings and Planet First participation.

- Strong organisational and project management skills
- Exceptional interpersonal and communication skills
- Proficiency in MS Office suite
- Proven ability to multitask
- Able to take initiative and work independently
