**Specsavers Job Description - Administration Assistant**

**HOURS 15-20 hours per week to be worked Monday to Friday between 9.00am - 5.30pm**

**This role could be 9am - 2.30/3.00pm over 3 or 4 days**

**Role Overview / Job Purpose**

The main task for an administrator will be to reconciliation our online NHS claims & payments.

Investigating & correcting any errors. There is also a requirement to support incoming phone calls & other admin tasks.

**About the Role**
- To assist with the accurate submission & reconciliation of our NHS BACS payments using both Specsavers software & NHS payment software.
- Ensure NHS claims & our debtors ledger accurate so that 'write-offs' & corrections are m minimised especially for our Year End & 6 monthly audits.
- To assist in the operation of the store to achieve sales targets and the delivery excellent levels of customer service through the efficient answering of the telephone and appropriate direction of enquiries.
- Assist in the efficient management of the store electronic diary system. Thus helping maximise appointment time with effective screening of booked appointments & to provide accurate information to clients prior to booking appointments.

**Your Objectives**
- Ensure that NHS claims are input accurelty & promptly on the system on a daily & weekly basis. Then on a monthly basis to sure that NHS payments are reconciled accurately & promptly thus ensuring good cashflow is maintained.
- Ensure that if corrections are needed that good communication is maintained with the Shop Floor Team to minimise the reoccurrence of any errors.
- Appointment management disciplines are maintained. Minimising waiting times & maximising the audiologist conversion rates.
- The Director / Manager is made aware of days and times where appointments are at capacity and days and times when appointment demand is weak.
- Store to store protocol is followed.
- Ensure a copy of the following days appointments is produced each evening as a contingency for system failure.
- Meet and exceed all personal and team goals
- Be an ambassador for the Specsavers brand at all times
