Office Administrator Apprentice

**Job Overview**
- Answer incoming telephone calls, log time, caller and purpose or nature of call and pass to relevant member of Team
- Collect, Open and Date stamp all incoming mail & scan to clients file as appropriate
- Go through all received mail with Managing Director on Mondays, Wednesdays and Fridays (Admin
- Director catch-up meetings) prior to passing to relevant team member as appropriate
- Prepare all outgoing mail, log in mail diary and post daily, including non-standard post
- Maintain petty cash and stock of postage stamps
- Monitor and reconcile petty cash and pass completed reconciliation to the Finance Director details at end of each month
- Monitor and maintain and coordinate business events diary for extended FBD Team
- Bring any outstanding matters to the attention of the Managing Director and Team member allocated to the clients’ cases
- Organise travel, accommodation for seminars & courses on behalf of Team members
- Act as PA support to Directors for business and personal matters
- Help and support trainees

- Maintain and update Limited Companies deadlines list weekly - as appropriate
- Maintain and update VAT deadlines list weekly - as appropriate
- Maintain and update client workflow list weekly - as appropriate
- In discussion with Managing Director, prepare as appropriate, follow up and review, on an annual basis, engagement letters and fixed price agreements for clients
- In discussion with the Managing Director, ensure company does not act for clients until the necessary paperwork is signed off appropriately
- Enter and maintain clients details on system
- Inform Finance Director of any purchases made when using Company Credit/Debit Card
- Inform Finance Director of new FPA’S, or other invoicing as appropriate, set up for new & existing clients
- Scan paper files to electronic files and shred or return to client as appropriate
- Organise birthday cards for clients
- Responsibility for ensuring office facilities and files are kept tidy on a daily basis
- Ensure we have a reasonable supply of office stationery, paper, cartridges, coffee etc
