**Context**

The Asset Management “AM” Back Office is a key support function within the Asset Management Operations function. The team has wide ranging accountability ensuring operational control of our Reconciliations, Data and Cash management processes.

This is a key role within the Asset Management function, reporting directly to the Head of Asset Management Operations, and will come with the responsibility of managing a team, in the provision of Back Office services in support of a wide range of asset services, including but not limited to; reconciliations, cash management and data management. This is a brand-new role that will involve the build out of a scalable back office operating model to support both current and incoming activity.

**Team Context**

The core responsibilities of the team include managing the reconciliations and settlements of our in-house trading capability, oversight of key outsourced services provided by our external portfolio manager, fund accountants and custodians, providing accurate asset data to AM and the wider Phoenix group systems, dispute management, reconciliations to provide accurate Investment Book of Record (IBOR) positions and efficient cash management services.

**The Role**

The Head of AM Back Office will be responsible for recruiting and managing the team in a period of anticipated growth along with the design and implementation of BAU processes, de-risking workflow by delivering a robust control environment and a best-in-class operating platform. Whilst there is a significant focus on the oversight of third-party activity through the implementation of reconciliations, this has now shifted to support a transition to directed execution mandates and direct investment activity.

The successful incumbent will also collaborate with the COO and other business area heads in formulating business strategy, designing and implementing processes in support of the overall Asset Management strategy, and acting as an SME in relation to all back office process improvement and operating model enhancement workstreams.

As Head of AM Back Office, you will retain ultimate responsibility for ensuring the function delivers benefits to Asset Management in the form of clear segregation of duties, efficiency gains, a strengthened control environment, process improvement and enhanced 3rd party oversight.

**Key Responsibilities**

**Team Leadership**
- Manage and lead multiple back office teams, including reconciliations, data and settlement
- Provide leadership, mentorship, fostering a culture of excellence and collaboration
- Lead and train a newly formed team

**Driving Efficiency**
- Develop and implement efficient processes and procedures to streamline back office operations and enhance productivity
- Collaborate with the wider Operations teams and other departments, such as compliance, risk and portfolio management to support overall business objectives
- Oversee the implementation and maintenance of back office systems and technology solutions, ensuring they meet the business needs
- Drive initiatives to enhance data quality, consistency and usability, leveraging automation and technology solutions where appropriate
- Monitor and analyse we key performance metrics related to data quality, timeliness and completeness and implement measures to address those gaps
- Develop and implement data cleansing strategies and enrichment to enhance quality and completeness of asset data
- Oversee the end to end settlements process for all asset classes across domestic and international markets
- Implement a well governed control framework that can be mirrored across all operational functions

**Managing Key Relationships**
- Establish and maintain relationships with counterparties, custodian, brokers and other service providers to facilitate smooth settlement processes and resolve settlement related issues
- Manage relationships internally across Asset Management, Finance and IT and externally fund managers, custodians and TPA’s
- Liaise with the COO and other senior manager
