An exciting new role as a full time Senior HR Assistant (36.5 hpw) in the School of Life Sciences HR team has arisen. The role works alongside the existing part time Senior HR Assistants and reports to the HR Officer, undertaking a full range of HR duties with an emphasis on recruitment across the week.

The ideal person should be educated to ‘A’ level standard with GCSE English and Maths or equivalent and hold a minimum of a Certificate in Personnel Practice or other relevant HR qualification or have experience of working in a HR role to this level. They should also have a commitment CPD and attaining a CIPD qualification.

Previous experience of working in a busy HR role undertaking end to end recruitment is essential, as is an ability to track and monitor progress of work as this role has a focus on recruitment involving fixed term contracts. The postholder will need to provide general advice on associated immigration requirements and visas and undertake right to work checks (training for this can be provided).

Previous experience and/or an ability to work as part of a team is essential. As the existing Senior HR Assistant roles work part time, it is vital that the postholder is extremely organised and has excellent communication skills to keep the team and HR Officer informed and updated including handover of work. You will also need to work independently and use your initiative to make decisions and plan, prioritise and manage your workload.

Experience of working within HE or with HR/University systems is helpful but not essential.

**JOB PURPOSE**

To assist the HR Officer (and support the other Senior HR Assistant) in the provision of an efficient and effective HR service for the School of Life Sciences and to act as a first point of contact to line managers/employees on HR issues. Providing cover when the HRO is absent as applicable.

**DUTIES & RESPONSIBILITIES**

**Recruitment and Induction**:

- To be responsible for multiple end-to-end recruitment processes including fixed term contracts related to Research funded work undertaking the associated tracking and monitoring to enable the successful appointment and best use of funding.
- Advising, planning, undertaking, tracking and monitoring recruitments throughout all stages, including advising managers in relation to advertising, job descriptions and person specifications, short listing, interviews, reference requests and appointment/offers in line with policy and procedures.
- Advising on visa related appointments, liaising with the HR immigration team and Finance to agree offers, making decisions on establishing realistic and achievable start dates, assessing any impact on the funding and ensuring tracking and monitoring of progress. Undertaking Right To Work checks.
- Working closely with the Research Finance Officer and Head of Administration on planning and ensuring the timely use of research funding when undertaking recruitments, new contracts/appointments/offers and extensions of existing research funded staff contracts.
- Managing recruitment associated with senior and academic appointments, liaising with the SLS admin team in co-ordinating supporting activities and ensuring appropriate panel timings, composition and selection programme.
- Establishing and monitoring redeployment within the department including exploring possible options for redeployment of staff into potential new posts
- Responsible for accurate completion of electronic forms related to seeking approval and then processing through all recruitment to ensure timely processing.
- Ensuring accurate processing of claims such as relocation, immigration support and interview expenses in liaison with the Science Support and Finance teams.
- Ensuring new starter information, inductions, and probation info
- related to new appointments are communicated in a timely way within the School to allow facilities and functions are set up in advance of their arrival.
- Support the administration of the departmental induction process for new employees, including tracking and monitoring returns
- To track monitor the returns from Line Managers to ensure they are managing probation processes effectively.

**General HR duties**:

- Act as first point of HR contact addressing a wide range of staff queries providing appropriate and relevant information in a professional and timely manner from the HR inbox and in person, determining if and when these need escalation to the HR Officer.
- Provide advice and guidance to line managers on general HR policies, procedures and queries, such as terms and conditions, annual leave etc. to ensure that policies and processes are followed appropriately in line with legal requirements and our commitments to diversity and fairness.
